Department
Laboratory Animal Resources within the Office of Research seeks to fill the Office Administrator position.
Responsibilities
The Office Administrator manages the daily operations of the Laboratory Animal Resources (LAR) front office, serving as the primary point of contact for visitors, researchers, and staff while ensuring a welcoming, service-oriented environment that reflects the service standards of the LAR mission.
Administrative Operations
Evaluates office needs related to equipment, workflow, and materials; recommends improvements and develops procedures that support efficient operations; independently resolves routine inquiries by interpreting departmental and University policies. Provides direct administrative support to the LAR Director, including correspondence, data compilation, reporting, and calendar management; may offer similar support to other LAR administrative and professional staff.
Plans and executes Unit-wide events such as team-building activities, professional development sessions, and the triennial AAALAC reaccreditation site visit. Manages departmental receiving and delivery functions; tracks service requests with IT, Facilities, and Custodial Services.
The position may supervise a student Office Assistant as assigned.
Purchasing & Travel
Responsible for non-animal purchases through SpearMart and OMNI; serves as T-card and P-card proxy; manages the logistics of all department travel.
Human Resources Support
Responsible for job openings, including scheduling candidate interviews, providing information to the OVPR HR Rep for processing, and assisting candidates with onboarding. Serves as the Time and Leave Representative, ensuring accurate and timely reporting across employee groups, and manages the departmental leave calendar and electronic workflow.
Compliance, Security & Research Support
Serves as the primary administrator for the LAR animal census and reconciliation system; processes animal orders; prepares cage cards; maintains essential databases used for regulatory reporting and accreditation. Serves as departmental Security Representative for all LAR vivaria, managing personnel access, verifying required training and compliance, and ensuring adherence to security protocols. Additional responsibilities include providing administrative and technical support for ACUC activities.
Communications & Web Content
Reviews LAR and ACUC webpages to ensure material is current and accurate; develops materials for events and training registration; maintains LAR listservs.
Qualifications
High School diploma or equivalency and four years appropriate experience or a combination of post high school education and experience equal to four years.
