General Statement of Job
Under limited supervision, performs a variety of duties associated with directing the usage and tracking of the CRM and supervising data management staff for the university, its academic programs and institutional projects. As a key member of the Institutional Advancement and External Affairs leadership team, the Executive Director for Advancement Services is responsible for tracking and reporting analytics for institutional giving of the Johnson C. Smith University. This position reports to the Assistant Vice President for Institutional Advancement and External Affairs.

Essential Job Functions
The Director of Advancement Services is responsible for database management, advancement reporting, gift processing, prospect research, data integrity, and data security. Serves as team leader for the organization's efforts to understand its constituent data by guiding analysis and segmentation efforts. Develops strategies for leveraging constituent data to advance the work of the organization. Provides technical advice, forecasting, training, and reports as needed for all members of the Development and Alumni Affairs professional staff, as well as authorized members of the university community who need reports from the Alumni/Development System (Raiser's Edge NXT). This position may be eligible for a hybrid work arrangement, consistent with university policy. JCSU employees are generally required to reside within a reasonable commuting distance of their assigned duty station.
Minimum Training and Experience
Requires at least three to five years of significant experience in CRM management for development at a university. Advanced degree preferred. Experience with computerized databases and word processing, or an equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities.

Physical Requirements: Must be physically able to operate a variety of automated office machines and equipment. Must be able to exert up to five pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time. Must be able to lift/carry weights of five to ten pounds.

Manual Dexterity: Requires the ability to handle a variety of items including computer keyboards, office equipment, control knobs, switches, etc. Must have minimal levels of eye/hand/foot coordination.

Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under minimal levels of stress when confronted with an emergency or tight deadline.

- Provide oversight and direction for the Advancement Services area, which includes gift processing, prospect research, and donor relations.
- Guides and directs staff through training, processing, and handling of data.
- Create and administer Raiser's Edge NXT database reports to address advancement needs.
- Supervise the preparation of donor receipt letters, donor letters and recognition letters, and related correspondence.
- Working with the Advancement team, construct the necessary lists, reports, and dashboard tools to support fundraising efforts, including data, benchmarking, and forecasting.
- Tracks all gift agreements and stewardship addenda as gifts are received from donors and organize data from a variety of sources (donor gift information, scholarship awards, financial data on endowed funds) to ensure accurate reporting to donors.
- Reviews all existing agreements/scholarship accounts to ensure terms follow state and federal laws and coordinates with development officers to ensure new donor scholarship agreements follow state and federal laws.
- Serve as quality control for all records, reports, lists, and data.
- Proficiency in working with databases, CRM systems, reporting tools, and Microsoft Office products.
- Performs additional duties as required to meet organizational needs and as assigned by the VP of Institutional Advancement and External Affairs, to include but not be limited to the following:
- Play lead role in developing and executing fundraising strategy.
- Coordinate on-campus fundraising activities.
- Represent the University on external committees, work teams, and civic partnerships as assigned by the AVP of Institutional Advancement and External Affairs.
