Primary Purpose Of The Organizational Unit:

Career & Professional Development (CPD) empowers Spartans to become Career-Ready from exploration to life beyond graduation. CPD accomplishes this mission by:

  • Providing data-informed guidance to help students discover career paths, develop transferable skills, and prepare for meaningful work and life.
  • Collaborating across campus to create a career ecosystem.
  • Building trusted relationships with employers who believe in UNCG talent.

The Office of Leadership and Civic Engagement (OLCE) prepares students to serve as change-makers. We develop, promote, and advance civic engagement, leadership development, and meaningful service to create positive social change.

Position Summary:

This position reports to the Director for Career & Professional Development and serves as the primary office operations liaison for both CPD & OLCE. More specifically, the person in this role is responsible for the following: Managing office, business, administrative, and budgetary systems for the office, including supervision of student staff who support those same functions. In close collaboration with the Directors of CPD & OLCE, making decisions regarding budget and human resources for the respective departments. Assisting the Directors in managing the day-to-day functions of the department.

Independently managing all CPD & OLCE budgets (expenditures, deposits, and balancing) as well as advising Directors on budgetary issues and coordinating purchasing activities including P-card system purchases.

Coordinating with the Student Affairs division office regarding all matters related to hiring, onboarding, benefits, and payroll for both CPD & OLCE.

Managing front office operations including the hiring, training, and day-to-day supervision of student employees/office assistants. Training staff on office, business, administrative and budgetary systems, processes and forms.

Spearheading all internal office events and meeting planning.

Minimum Qualifications:

BACHELOR’S DEGREE IN BUSINESS ADMINISTRATION OR A RELATED DISCIPLINE; OR AN EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.

Preferred Qualifications:

  • Two to three years of relevant experience.

Key Responsibility:

Budgeting, information and records administration, and office administration, including accounts payable/receivable for Career Services Funds.

Essential Tasks:

  • Recommends expenditures for goods, services, supplies.
  • Manages all software contracts, association memberships & renewals, and all other functions of the department.
  • Makes decisions on expenditure of funds and has signature authority for CPD & OLCE accounts disbursements with same limits as Director.
  • Independently coordinates and resolves purchasing needs and record keeping responsibilities of all other staff members related to budget.
  • Responsible for all aspects of CPD & OLCE budget records including all Funds and all CPD & OLCE individual event budgets.
  • Analyzes and researches current and previous year data to collaborate with Directors in developing the annual budget.
  • Establishes and maintains extensive paper and electronic filing systems and for use in analysis and research.
  • Interprets, summarizes, and presents information and reports directly related to the departments’ goals, metrics, and priorities.
  • Utilizes multiple software systems to post and reconcile all fund accounts and collects and analyzes all financial data.
  • Researches any discrepancies online and/or by directly contacting various departments/vendors involved and makes appropriate corrections.
  • Independently researches, analyzes, assimilates, and presents data, including purchasing decisions and major recommendations, on operations of CPD & OLCE.
  • Collects data from multiple sources to prepare reports, for all funds and events, and alerts the Directors as to the status of accounts and issues of concern.
  • Responsible for all aspects of the Purchasing Card system for CPD & OLCE, which includes coordination of all user cards (currently 9 individual users).
  • Coordinates use of cards, obtains receipts, posts and reconciles monthly statements using online software for each card; works with cardholders to determine allowable purchases and offers alternative solutions as appropriate.
  • Researches supplies and equipment requested, determines best choice, checks that funds are available and places orders.
  • Collaborates closely with Financial Aid, Student Employment Coordinator, and CPD Director to manage the JLD budget.

Key Responsibility:

Coordinate with the Student Affairs division office regarding all matters related to hiring, onboarding, benefits, and payroll.

Essential Tasks:

  • Serves as primary liaison between CPD & Division of Student Affairs for HR actions.
  • Coordinates with Student Affairs to facilitate submission of all job-related hiring documents, monitors postings, coordinates all candidate interviews, and advises and supports managers with creation of onboarding plans.
  • Submits EPAFs for student new hires, student early job terminations, and student job changes, serves as HR liaison for department.
  • Manages the coordination between departmental staff and HR Benefits when questions or concerns arise.
  • Screens, interviews, evaluates and recommends applicants for hire in student, EHRA and SHRA positions. (up to 60 students annually).
  • Manages time entry for all student, temporary, hourly, and SHRA employees.

Key Responsibility:

Supervises the Front Office and all office operations. Trains staff on office, business, administrative and budgetary systems, processes and forms.

Essential Tasks:

  • Coordinates/provides a model for excellent customer service in management of the daily operation of the front office for CPD & OLCE.
  • Maintains a comprehensive knowledge of all CPD & OLCE systems and processes and all University policies or processes of significance regarding his/her responsibilities.
  • Provides factual or procedural information to clients and staff.
  • Explains services when necessary.
  • Independently resolves customer problems by reliance on extensive program knowledge, analytical skills, and research of past actions.
  • Helps to maintain level of service to students, employers, and UNCG faculty and staff.
  • Establishes, documents, and implements internal standards and internal operating procedures.
  • Ensures standards are being met, work rules are followed, and can implement or change minor revisions and additions to policies.
  • Develops in-house cross-training materials and administers training to employees.
  • Collects, reviews, evaluates, and presents final leave and job work schedules for all employees (EHRA and SHRA) to meet office objectives and office coverage during summer, as well as for special events and activities during the academic year.

  • Manages university and community contracts and reservations for departmental events such as Career Fairs, Volunteer Fairs, Leadership Challenge Ceremonies.

  • Prevents scheduling conflicts for department-administered rooms, CPD & OLCE Directors schedules, and resolves internal and external requests for time.
