The Advancement Services Manager is responsible for the strategic oversight and daily operations of advancement services in support of the Texas A&M University– San Antonio and the A&M-San Antonio Foundation. This position ensures the integrity, accuracy, and security of donor and gift data, and leads all functions related to database administration, gift processing, receipting, acknowledgements, and gift reconciliation. Reporting to the Vice President for University Advancement, the Advancement Services Manager supervises the Advancement Services Coordinator and serves as the primary liaison between Advancement, the Foundation, and the University’s Division of Finance and Administration to ensure accurate financial reporting and compliance.

Responsibilities
Database Administration & Data Integrity
- Serve as the primary administrator for Blackbaud Raiser’s Edge NXT, ensuring optimal system performance, data integrity, and adherence to best practices.
- Develop, implement, and enforce data standards, policies, and procedures for gift entry, constituent records, and reporting.
- Perform regular data audits, imports, exports, and cleanup to maintain accuracy and consistency.
- Manage user access, security roles, and system enhancements.
- Oversee the timely and accurate processing of all gifts, including cash, checks, credit cards, pledges, matching gifts, wire transfers, and other contributions.
- Ensure proper gift coding, fund designation, and compliance with donor intent and institutional policies.
- Supervise the preparation and distribution of tax receipts, acknowledgements, and stewardship communications.
- Lead gift disaggregation/distribution processes to ensure correct allocation across funds, campaigns, and designations.
- Coordinate closely with the Division of Finance and Administration to reconcile gift records between the advancement database and financial systems.
- Ensure accurate and timely transfer of funds to appropriate Foundation and University accounts.
- Prepare reconciliation reports and resolve discrepancies in a timely manner.
- Maintain compliance with CASE standards, IRS regulations, and institutional policies.
- Develop and deliver standard and ad hoc reports to support fundraising, leadership, and Foundation operations.
- Maintain dashboards and data insights to inform strategy and decision making.
- Support campaign/appeal tracking, donor analytics, and performance metrics.
- Supervise and mentor the Advancement Services Coordinator, providing training, performance management, and professional development.
- Establish workflows and ensure efficient, high-quality service delivery across advancement operations.
- Partner with advancement staff, foundation leadership, and campus stakeholders to improve systems, processes, and reporting capabilities.
- Identify opportunities for automation and operational efficiency within Blackbaud NXT and related systems.
- Support audits, campaign initiatives, and special projects as needed.
Required Education And Experience
- Bachelor’s degree or higher in related field.
- Five (5) years of related experience.
- 3–5 years of experience in advancement services, nonprofit operations, or database administration.
- Hands-on experience with Blackbaud Raiser’s Edge NXT (or similar CRM).
- Experience with financial reconciliation and working with accounting teams.
- Experience in higher education advancement or foundation operations.
- Experience supervising staff.
- Strong organizational and project management skills.
- Strong knowledge of gift processing, receipting, and donor database management.
- Strong analytical and reporting skills.
- Ability to manage confidential information with discretion.
- Excellent communication and interpersonal skills.
- Ability to prioritize and manage multiple deadlines in a fast-paced environment.
- Commitment to customer service and continuous improvement.
- High level of accuracy, attention to detail, and data integrity.
- Familiarity with CASE reporting standards and IRS regulations related to charitable giving.
