Position Summary
As the Office Administrator, you will be the backbone of our daily business operations. You will handle everything from general administrative support and bookkeeping assistance to greeting visitors and managing vendor relationships. This role interacts closely with operations leadership, production teams, and external clients, requiring excellent communication skills and a sharp eye for detail.
Key Responsibilities
- Administrative Support: Manage daily office operations, route incoming calls, handle mail/deliveries, and maintain a clean, organized front office environment.
- Data & System Support: Assist with data entry, maintaining digital and physical files, and supporting administrative tasks related to our ongoing ERP system updates.
- Financial & Order Administration: Assist with basic bookkeeping tasks, processing invoices, organizing purchase orders, and matching paperwork for accounting activities.
- Visitor & Client Relations: Serve as the welcoming face of Insco Corporation for visiting clients, vendors, and partners.
- HR & Onboarding Assistance: Help coordinate schedules, maintain employee records, and assist with basic onboarding paperwork for new shop and office staff.
Qualifications & Skills
- Experience: 3 years of experience in office management, administrative roles, or executive assistant positions—ideally within a manufacturing, machining, or industrial environment.
- Tech Savvy: Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook). Experience with manufacturing ERP databases (e.g., JobBOSS).
- Organizational Wizardry: Exceptional time-management skills with the ability to prioritize tasks in a fast-paced environment without letting things slip through the cracks.
- Communication: Excellent verbal and written communication skills with a professional, collaborative demeanor.
- Problem Solver: A proactive mindset—someone who sees a bottleneck in an office process and naturally works to fix it.
