We are looking for a dependable, detail-oriented, and proactive Office Assistant to join our team in Chattanooga, TN. This is a part-time, on-site position for someone who enjoys keeping office operations organized, supporting multiple business functions, and contributing to a fast-paced team environment.
In this role, you will support the day-to-day administrative needs of the office while also assisting with purchasing, project logistics, travel coordination, and Accounts Payable-related processes. This is a great opportunity for someone who is highly organized, comfortable working independently, and eager to support a variety of office functions.
Key Responsibilities
- Prepare and manage correspondence, including emails, memos, and reports
- Process incoming Accounts Payable invoices, including cost code assignment, and review them for accuracy, completeness, and proper tracking
- Monitor office supplies and assist with inventory shortages
- Support the purchasing team by processing material requisitions, obtaining quotes, and comparing pricing in the company ERP system
- Coordinate travel arrangements, including hotel and flight bookings
- Manage lodging, vehicle arrangements, and customer-site access
- Maintain and organize records using the company’s document management system
- Assist with picking up, dropping off, and distributing office-related documents and supplies as needed
- Support management with daily administrative tasks and other assignments as needed
Skills and qualifications
- Previous experience in an administrative role or office environment preferred
- Hands-on experience processing Accounts Payable invoices, including cost code assignment, is required
- Strong organizational skills and the ability to work independently
- High attention to detail, accuracy, and time management
- Strong problem-solving skills and the ability to adapt to changing priorities
- Comfortable using technology and learning new systems
- Proficiency with office equipment and document management systems
- Willingness to support a variety of administrative functions
- Spanish and/or German language skills are a plus, but not required
