Summary
The Design Coordinator is an organized, responsive commercial support professional who coordinates customer requests, samples, leads, project updates, CRM data, and follow through for the Sales team. This role serves as a key link between customers and internal teams, including Sales, R&D, Marketing, Regulatory, Customer Success, Supply Chain, and Applications, helping ensure that qualified opportunities and routine requests move to the right owner with accurate information and clear next steps. The ideal candidate is detail oriented, technically curious, comfortable with systems, and proactive in resolving issues and improving commercial workflow.
Brief Description
- Serve as a liaison between customers, Sales, and internal teams to ensure timely, accurate commercial and technical communication.
- Coordinate samples, inbound leads, pricing requests, documentation, product information, project updates, and customer follow through.
- Maintain accurate CRM and ERP records, including project origin, end brand when known, request status, owner, and next action.
- Track open customer and Sales commitments, identify delays or missing information, and escalate issues to the right owner.
- Manage the Inolex information inbox and route inbound customer calls and requests.
- Support consultant, brand, and contract manufacturer mapping through accurate relationship and project data.
- Prepare recurring reports and maintain visibility to sample follow up, leads, projects, and Sales team actions.
- Identify process gaps and support practical improvements that strengthen responsiveness, data quality, and seller capacity.
Required Skills/Abilities:
- Strong organization, professional communication, customer service, and follow-through.
- Ability to manage multiple priorities and translate customer needs into clear internal actions.
- Technical curiosity and willingness to learn personal care ingredients, applications, and customer projects.
- Proficiency with CRM and ERP systems, Microsoft Office, reporting, and accurate data entry.
- Sound problem solving judgment, including when to resolve an issue and when to escalate.
- Collaborative working style and comfort coordinating across commercial and technical teams.
- 1-5 years of related experience in sales support, quality, regulatory, customer service, or project coordination in personal care, ingredients, or a related industry.
- Bachelor's degree in a science field preferred.
- Knowledge of personal care ingredients is valuable, but a demonstrated ability to learn technical product information is also considered.
- This position is primarily located in the Philadelphia office.
- Must be able to work at a computer for extended periods.
- Occasional travel, approximately 10%.
