We are looking for a successful and enthusiastic Austin based Corporate Event Program Manager / Meeting Planner / Event Producer to create and produce meetings, incentives and events from conception through completion. You will provide outstanding customer service and organize memorable events that meet quality expectations, draw new customers and enhance our current customers' experience. This is an in-office role which requires normal working hours (while not onsite for events) from our office located near the Domain/Arboretum.

You love managing the details of events and working in a team environment to execute corporate event programs of 10-5000 people. You have a passion for events. You are creative and analytical. You can create a vision for the event, rock a budget in excel, manage a production timeline and execute a memorable experience. All with a huge smile on your face because you LOVE what you do.
We plan events for amazing corporate clients from luxury automotive companies to Fortune 100 companies.
This is not an entry level position, we are looking for an experienced Event Program Manager or Meeting Planner.
Responsibilities:
- Responsible for the scheduling, booking and coordination of local area-based events and occasional out of the area destination meetings and events.
- Manage the projects budget to ensure the maximization of gross profitability.
- Builds a knowledge base of each client’s business, organization, and objectives.
- Experience working within a demanding fast-paced environment to very high standards.
- Interacts with customers at the events and provides top notch customer service.
- Manage production & design of all on-site meeting materials.
- Produce, manage and circulate key communications, including weekly status reports to all key meeting stakeholders.
- Travel on-site to conduct site inspections & planning meetings with all suppliers
- Plan, attend & execute project planning meetings - face to face, Zoom and/or conference calls.
- Ensure client stakeholders are up to date with all aspects of program planning throughout the course of the program
- Coordinate and prepare project debrief post event
- Manage supplier pricing, holds, releases and inventory offerings
- Track key project milestones, develop and execute against project plans and critical deadlines.
- Responsible for the execution of all event-related administration and reporting, including budget tracking, invoices, contracts, permitting, creative requests, internal status updates.
- Develop relationships with client personnel that fosters long term client connections.
- Manage & coordinate client requirements with all 3rd party suppliers (Transportation companies, venues, freelance staffing, restaurants, security, decor providers, etc)
- Build a rapport with key supplier contacts through communication, social activities and contributing to new ideas and options for clients
- Build creative proposals based on client requirements
- Submit accurate final reconciliation of events within agreed timelines
- Maintain good long-term relationships with hotels, venues and suppliers
- Attend networking events and continuing education
- Travel may be required, estimated no more than 25%
- Ability to manage multiple meetings and events at one time
- Ability to work flexible hours, and weekends, when required by the program
Requirements:
- Superior written and verbal communication skills
- Outstanding project management and time management skills, including the ability to work on multiple projects under demanding deadlines.
- Extensive PC skills and in-depth experience with office suite. (Outlook, Word, Excel, PowerPoint) - we basically live in PPT and Excel (Canva & CVENT experience a plus)
- Self-motivated go getter
- Team player! You need to collaborate with a great team of other dedicated and passionate planners.
- Proven event management experience, Agency or DMC preferred.
- Have a keen eye for detail, quality management, production experience, and multiple team coordination
- Strong budget management skills
- Ability to work with all levels from managers to CXO’s.
- Ability to simultaneously see the big picture and the minute details
- A strong attention to detail
- Strong contract and negotiation skills
