Responsibilities
- Greet clients warmly upon arrival and assist with check-in procedures
- Manage multi-line phone systems to answer inquiries, schedule appointments, and direct calls professionally
- Book, confirm, and modify spa appointments using scheduling software and calendar management tools
- Handle client inquiries via phone, email, or in person with excellent phone etiquette and customer support skills
- Maintain accurate records of appointments, client information, and billing details using computer literacy and data entry skills
- Process payments and perform basic bookkeeping tasks using QuickBooks or similar accounting software
- Keep the reception area organized, tidy, and stocked with necessary supplies; perform clerical duties such as filing, proofreading, and document management
Qualifications
- Previous office management or administrative experience preferred; experience in a spa or wellness setting is a plus
- Strong computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry applications
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Bilingual abilities are highly desirable to serve diverse clientele effectively
- Demonstrated customer service expertise with professional phone etiquette and interpersonal skills
- Familiarity with office equipment such as multi-line phones, printers, and fax machines
- Personal assistant or calendar management experience is advantageous for scheduling appointments and managing time effectively
