What are the responsibilities and job description for the HR Specialist position at Inlet Health, Inc?
I. Position Overview:
This position is a full-time position that performs human resource related duties at the professional level and will carry out responsibilities related to employee recruitment, employee relations, employee training, and employee benefits. Major tasks include duties related to pre-employment, employment, and compliance of staff members and corporate practices. This position may also be responsible for a variety of tasks that may be subsequently communicated, but nonetheless essential to the smooth functioning of the Human Resource Department, under the heading of “Miscellaneous”. This position reports to the Human Resource Director and is located at the corporate office.
II. Major Tasks / Responsibilities
A. Pre-employment
1. Assists HR Director in advertising for open positions
2. Attend employment fairs or other such recruiting events as directed
3. Posts, within the corporation, all open positions according to established policy and protocol
4. Acknowledges all resumes/applications received and maintains applicant/candidate files according to established policy and protocols
5. Maintains lists, databases, registers of position applicants/candidates according to established policy or protocol
6. Conducts pre-employment testing, checks references, conducts application appointments, and/or otherwise screens and prepares candidates for formal interviews according to established policy or protocol
7. Compiles all compliance related documentation (see section C below) on prospective employees according to established policy and protocol
B. Employment
1. Expedites delegated actions, specific or routine, in the name of the HR Director as directed (e.g. drafting appointment letters or other personnel correspondence)
2. Supports the HR Director in the physical maintenance of personnel files on all staff and contractors
3. Assists the HR Director in maintaining up to date personnel information within the MIS system
4. Assists the HR Director in the role of Personnel Policies librarian, including addressing staff members’ inquiries regarding Personnel Policy “statements of fact”
5. Assists the HR Director in expediting, both internally and externally, employee enrollment in or requests for changes to benefit or payroll options according to established policies or protocols
6. Assists the HR Director in maintaining an up to date and accurate organizational chart(s)
7. Coordinates form dissemination, reminder services, and tracking of submission of staff evaluations by supervisory personnel
8. Coordinates reminder services regarding expirations or other significant events related to employee, licensure/certification
C. Compliance
1. Assists the HR Director to ensure corporate compliance with federal, state, and local personnel related laws, statutes, and regulations
2. Assists the HR Director with ensuring content and procedural compliance of personnel files with federal, state, and local laws; Licensure and Regulation Standards; Wage and Hour Rules; Board policy; auditor recommendations; and any other recognized payor source requirements
3. Conducts background checks on all applicants/candidates and current employees according to corporate policy or any recognized external governing standard
4. Verifies applicant/candidate/employee claims regarding transcripts, licensures, certifications, legal statuses, etc. according to established policy or protocol
5. Participates in the orienting and updating of employees regarding HR related issues through group or individual contacts
D. Miscellaneous
1. Meets productivity standards as assigned.
2. Attends periodic meetings and/or trainings as assigned
3. Performs other duties or responsibilities as needed or assigned
III. Minimum Qualifications
A. Bachelor’s degree in Human Resource Management or other related field.
B. One year experience in Human Resources, preferred
C. Must have the ability to make recommendations to effectively resolve problems or issues, by using judgment that is consistent with policies, practices, procedures, regulations, and law
D. Must have a valid driver’s license and insurable driving record
E. Ability to organize and prioritize work
F. Must pass all required background checks
