Position Overview
We are seeking a dependable and compassionate BILINGUAL Front Desk Assistant to join our mental health outpatient clinic team. This role requires a professional individual who can thrive in a fast-paced clinical environment while providing exceptional patient support and customer service.
The ideal candidate will have strong front office experience, excellent communication skills, and the ability to remain organized and professional in a mental health setting.
This position is for the evening closing shift. Candidates must have open availability for scheduled shifts between Sunday through Saturday.
Schedule: 12:30 PM – 9:00 PM
Availability Requirement: Evening and weekend availability is mandatory.
Scheduling Notice: Scheduled days may vary Sunday through Saturday. Work schedules may change at any time based on business needs with advance notice provided when applicable.
Key Responsibilities
- Front Desk Duties: Check patients in and out, collect payments, upload documentation and data into electronic systems, answer multi-line phone systems, respond to messages, manage incoming and outgoing faxes, and provide general administrative support.
- TMS Treatments: Conduct Transcranial Magnetic Stimulation (TMS) treatments with provided training and certification.
- Referrals and Authorizations: Manage and process patient referrals and authorizations efficiently.
- CURES Checks: Perform CURES (Controlled Substance Utilization Review and Evaluation System) checks for providers.
- Patient Interaction: Greet and assist patients professionally and empathetically to ensure a positive experience.
- Communication: Maintain clear and effective communication with patients, providers, and team members.
- Administrative Duties: Maintain patient records, scheduling, and other clerical responsibilities as assigned.
- Reporting: Directly report to the Office Manager.
Qualifications
- Experience: Minimum of two years of front office or administrative experience required. Healthcare or mental health experience preferred.
- Bilingual: Proficiency in Spanish is required.
- Attention to Detail: Strong accuracy and attention to detail in all tasks.
- Communication Skills: Excellent verbal and written communication skills.
- Technical Skills: Basic computer proficiency, typing skills, and accurate data entry skills required.
- Authorization: Must be authorized to work in the USA.
- HIPAA Compliance: Must pass HIPAA training and adhere to all privacy and security regulations.

Employment Conditions
- This position is an at-will employment role in the state of California.
- Full-time in-person work only.
- Regular attendance is required.
- Overtime may be required based on operational needs.
- Must pass HIPAA training and comply with all privacy and confidentiality regulations.
