Key Requirements
- Demonstrated experience as an Executive/Personal Assistant, Executive Administrator, or Coordinator supporting senior leaders with multifaceted, high-stakes responsibilities.
- Exceptional organizational and multitasking skills; ability to handle heavy filing, independent work, and operate with minimal supervision.
- Advanced proficiency in Microsoft PowerPoint (creating polished, professional presentations), QuickBooks (bill payments/expense tracking), and Excel.
- Strong plus: Project management experience (e.g., coordinating timelines, deliverables, stakeholders).
- Strong plus: Background working with government municipalities, identifying/coordinating RFPs (Requests for Proposals), or supporting public sector projects.
- Tech-savvy mindset; experience with HubSpot, CRM platforms, digital media, or property management is highly valued for role expansion.
- Must successfully pass a background check.
Core Responsibilities
- Coordinate executive travel: bookings, detailed itineraries, and logistics.
- Manage complex calendars: schedule/optimize meetings, interface professionally with Executive Assistants at Fortune 100 companies and other high-level contacts.
- Perform precise administrative tasks: mail sorting/processing, filing, faxing/scanning, and general support.
- Handle financial tracking: process payments, monitor expenses via QuickBooks and Excel.
- Develop and refine executive-level presentations with advanced PowerPoint expertise.
- Support project coordination as needed, including potential RFP identification, preparation, and follow-up for government/municipal opportunities.
