We're seeking an Executive Administrator/Coordinator to provide high-level administrative and coordination support to a senior executive. The position starts part-time (20–30 hours/week), with realistic potential to grow into full-time and permanent status based on performance, contributions, and business needs—especially for candidates who bring added expertise in project management, digital media, HubSpot/CRM, or government-related coordination.

Key Requirements

  • Demonstrated experience as an Executive/Personal Assistant, Executive Administrator, or Coordinator supporting senior leaders with multifaceted, high-stakes responsibilities.
  • Exceptional organizational and multitasking skills; ability to handle heavy filing, independent work, and operate with minimal supervision.
  • Advanced proficiency in Microsoft PowerPoint (creating polished, professional presentations), QuickBooks (bill payments/expense tracking), and Excel.
  • Strong plus: Project management experience (e.g., coordinating timelines, deliverables, stakeholders).
  • Strong plus: Background working with government municipalities, identifying/coordinating RFPs (Requests for Proposals), or supporting public sector projects.
  • Tech-savvy mindset; experience with HubSpot, CRM platforms, digital media, or property management is highly valued for role expansion.
  • Must successfully pass a background check.

Core Responsibilities

  • Coordinate executive travel: bookings, detailed itineraries, and logistics.
  • Manage complex calendars: schedule/optimize meetings, interface professionally with Executive Assistants at Fortune 100 companies and other high-level contacts.
  • Perform precise administrative tasks: mail sorting/processing, filing, faxing/scanning, and general support.
  • Handle financial tracking: process payments, monitor expenses via QuickBooks and Excel.
  • Develop and refine executive-level presentations with advanced PowerPoint expertise.
  • Support project coordination as needed, including potential RFP identification, preparation, and follow-up for government/municipal opportunities.
