Short Description:
Provides professional legal support to the Department’s Legal Counsel and staff, including research, document preparation, litigation assistance, and administrative support.
Job Duties:
• Assist Legal Counsel with Department litigation and act as a liaison with the Attorney General’s Office.
• Conduct legal research using statutes, case law, legal articles, and codes (including Indiana Code and Indiana Administrative Code).
• Prepare, draft, and proofread legal documents such as affidavits, briefs, pleadings, appeals, contracts, subpoenas, notices, witness lists, litigation lists, and supporting documentation.
• Respond to and coordinate discovery requests, subpoenas, and requests for Production, Admission, and Interrogatories.
• Investigate case facts and compile supporting evidence.
• Organize, index, file, and maintain original legal documents and law library materials; ensure volumes are updated.
• Process Public Records Requests and incoming expungement orders.
• Manage attendance and training records for Legal Office personnel; register/schedule attorneys for Continuing Legal Education.
• Provide administrative support, including answering phones and assisting with program/procedure development.
• Serve as liaison to the legislature and participate in interview committees as needed.
• Perform additional duties as assigned.
Job Qualifications:
Education/Certification (must meet ONE):
• High school diploma or GED and
• Bachelor’s degree with 12 hours in law/paralegal studies; OR
• Bachelor’s degree Paralegal certificate; OR
• Bachelor’s degree 2 years full-time paralegal experience; OR
• Associate degree in paralegal studies (with certification) 2 years full-time legal experience; OR
• Paralegal studies certification 2 years full-time paralegal experience; OR
• PACE certification (NFPA), in good standing; OR
• Paralegal CORE Competency Exam (NFPA), in good standing; OR
• CLA/CP certification (NALA), in good standing.
Skills & Requirements:
• Proficiency with Microsoft Office (Word, Excel, Outlook, Publisher).
• Basic understanding of LexisNexis and Westlaw (preferred).
• Strong attention to detail, problem-solving, proofreading, and organizational skills.
• Ability to maintain confidentiality and communicate effectively (written and verbal).
• Ability to work independently, prioritize tasks, and meet deadlines.
• Experience handling sensitive/confidential information.
• Ability to conceptualize and develop programs and procedures.
• Competent in accessing, inputting, filing, and retrieving digital information.
