Front Desk Patient Experience Coordinator
Indy Spine and Balance is a non-profit specialty clinic focused on helping patients find conservative, root-cause solutions for spine, joint mobility, pain management, and balance-related problems.
Our goal is to help patients improve function, confidence, and quality of life while supporting care options that may help reduce unnecessary reliance on medications, injections, or surgery when appropriate.
This front desk position is more than a basic administrative job. You will be one of the first voices patients hear and one of the first people they meet when they are looking for help. Main Responsibilities:
- Greeting patients and creating a positive front desk experience
- Answering phones, responding to messages, and communicating with new and existing patients
- Scheduling new patient visits, follow-up appointments, re-exams, and treatment visits
- Confirming appointments and managing schedule changes
- Collecting payments, discussing balances, and helping patients understand payment expectations
- Assisting with insurance verification and documentation of benefits
- Supporting billing, payment posting, claim follow-up, and accounts receivable tasks as trained
- Following up with patients who missed appointments, have not scheduled, or need to continue care
- Helping reactivate inactive patients through professional follow-up communication
- Keeping the front desk and office systems organized
- Learning and using clinic software accurately
- Helping improve office efficiency, patient communication, and daily workflow
- Supporting simple clinic marketing or social media posting as needed
Ideal Candidate:
The ideal candidate would have experience in a private a healthcare office, customer service, hospitality, sales support, scheduling, administrative support, or other people-facing role.
Experience in patient/customer service is helpful, but we are especially interested in someone who has the right personality, drive, and willingness to learn.

Preferred Qualifications
- Experience with scheduling, front desk, customer service, or patient coordination
- Experience collecting payments or discussing account balances
- Experience helping with business social media posts or patient communication
