We are seeking a detail-oriented and highly organized Sales Coordinator to join our team. This position plays a critical role in supporting the sales process and ensuring a smooth customer experience from the time a purchase order is received through final invoicing.
In this role, you will be responsible for overseeing the full order process from receipt of the customer purchase order to final invoice to the customer, while working closely with outside sales, customers, vendors, operations, accounting, and service teams. This role requires strong communication, follow-up, problem-solving, and attention to detail in a fast-paced environment.
Key Responsibilities
- Oversee the complete order process from receipt of the customer purchase order through final invoice to the customer
- Enter and process sales orders accurately and in a timely manner
- Review customer purchase orders, quotes, pricing, part numbers, freight terms, and order details for accuracy
- Coordinate with vendors and manufacturers to obtain order acknowledgements, track lead times, and monitor shipment status
- Communicate order updates, delays, and expected ship dates to customers and outside sales representatives
- Develop and maintain relationships with the sales team and customers through effective communication and personalized service
- Work closely with internal departments including purchasing, operations, accounting, and service to ensure orders are processed efficiently
- Monitor open orders and customer backlog to identify issues, delays, or needed follow-up
- Assist with order revisions, returns, credits, freight claims, and other customer-related concerns
- Maintain accurate documentation and records in company systems
- Support inventory visibility and communicate opportunities related to available equipment or branch transfers when applicable
- Provide a high level of customer service through prompt, professional, and proactive communication
Qualifications
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Strong problem-solving and follow-up skills
- Previous experience in sales support, order processing, customer service, or coordinator roles preferred
- Experience working with ERP, salesforce, or order entry systems preferred
- Proficiency in Microsoft Office
- Industrial battery, charger, motive power, or related material handling industry experience is a plus
