We are looking for a Rental Coordinator to join our team and play an important role in supporting our rental operations from the initial customer request through the full life cycle of the rental contract — including delivery, monthly invoicing, and the final return of equipment.
In this role, you will help oversee the rental process from start to finish by coordinating equipment availability, preparing rental documents, communicating with customers and internal teams, and helping ensure a smooth rental experience. Key Responsibilities
- Oversee the rental process from receipt of the customer request through final invoice to the customer
- Prepare and process rental quotes, contracts, and related documentation accurately and in a timely manner
- Coordinate with customers, sales teams, service teams, and branch personnel to confirm rental needs, equipment availability, delivery details, and rental timelines
- Communicate clearly with customers regarding rental status, availability, extensions, exchanges, pickups, and billing
- Develop and maintain strong relationships with customers and internal teams through effective communication, consistent follow-up, and personalized service
- Monitor active rentals to ensure equipment is properly tracked, returned on time, and billed accurately
- Coordinate rental deliveries, pickups, swaps, and off-rent requests with the appropriate internal teams
- Oversee and coordinate service loaners and demo equipment, including availability, delivery, tracking, billing when applicable, and return
- Review of rental paperwork and system records to ensure accuracy of rates, dates, equipment details, and customer information
- Assist with resolving customer concerns, billing questions, damaged equipment reports, and other rental-related issues
- Maintain accurate documentation and records in company systems
- Work closely with accounting and operations to support timely and accurate invoicing
- Help identify opportunities to improve rental workflow, communication, and overall customer experience
Qualifications

- Previous experience in customer service, rental coordination, sales support, dispatching, or administrative support preferred
- Experience with ERP, rental software, or order entry systems preferred
- Proficiency in Microsoft Office
- Experience in equipment rental, industrial equipment, material handling, or a related industry is a plus
