Job Summary

Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi-line phone systems, answer inquiries promptly, and route calls accurately using proper phone etiquette
  • Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports and correspondence
  • Assist with bookkeeping activities using QuickBooks or similar accounting software to support financial record-keeping
  • Provide customer support by addressing inquiries via phone or email, ensuring positive interactions and timely responses

Requirements

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in computer literacy including Microsoft Office, Google Workspace, data entry, and basic bookkeeping software like QuickBooks
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly desirable to assist diverse client needs and enhance communication
  • Strong typing skills combined with attention to detail for proofreading documents accurately
  • Experience in customer service roles such as medical or dental receptionist is a plus
  • Demonstrated professionalism in phone etiquette, personal assistant duties, and handling confidential information
