Position Summary- Independence Local Schools Central Office Administrative Assistant
The Administrative Assistant provides comprehensive administrative and operational support to the Independence Local Schools Administrative Office Team.
Key Responsibilities
- Serve as the first point of contact for the district office, providing professional and courteous customer service.
- Manage daily operations of the Superintendent's office, including phones, visitors, and correspondence.
- Support the Assistant Superintendent and Director of Student Services in the effective execution of their roles and responsibilities.
- Maintain calendars, schedule meetings, and coordinate logistics for events and professional activities.
- Prepare, proofread, and distribute communications, reports, and official documents.
- Maintain office supplies, process requisitions, and support purchasing and invoice reconciliation.
- Coordinate travel arrangements, registrations, and meeting accommodations for the central office administrators.
- Process purchase orders, reconcile invoices and credit card statements, and ensure timely payments.
- Maintain both active and inactive employee and student records in accordance with district policies.
- Prepare Board agendas, minutes, and supporting materials.
- Utilizes Boarddocs to edit board policies and assist in preparing the agenda.
- Update the Constant Contact platform.
- Provide support for transportation communication as needed.
- Perform other duties as assigned to support district operations.
Qualifications
- High school diploma required; Associate's or Bachelor's degree preferred.
- Prior administrative experience, preferably in an educational setting. Strong organizational, multitasking, and time-management skills.
- High level of attention to detail and accuracy.
- Proficiency in Microsoft Office and Google Workspace.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
