We are seeking a dynamic and highly organized Office Administrator to join our team! In this in person role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Responsibilities
- Greet visitors, answer phone with professional phone etiquette
- Screening calls and taking accurate messages in a timely manner
- Oversee calendar management for broker and scheduling for meetings, appointments, and office events.
- Maintain organized filing systems, data entry, and record keeping using Microsoft Office and learn our contact manager( CRM-Deal Relations).
- Enter new listings in CRM, Inbar Group website as well as other sell sites. As well as manage listing.
- Scanning all necessary documents for new listing and create hard copy files.
- Sending out NDA's when necessary for new contacts, etc.
- Perform clerical duties including proofreading documents, managing correspondence, and supporting administrative projects.
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM applications
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Previous office experience including clerical work, data entry, filing, and customer service roles
- Knowledge of office management procedures and excellent phone etiquette skills
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail.
