About the Role
In The Gap Academy is a growing behavioral health organization providing substance use treatment, mental health services, and reentry support. We are seeking an Administrative Assistant / Office Manager to support daily operations and help ensure our office runs smoothly, professionally, and efficiently.
This role is ideal for someone with prior healthcare or administrative experience who enjoys structure, organization, and being a steady presence in a mission-driven environment.
This is a fully on-site position, working closely with leadership, clinical staff, and clients.
Schedule & Location
- On-site, 4–5 days per week
- Hours: 8:30 AM – 5:00 PM
- 32–40 hours per week
- Monday–Friday
- Location: Hyattsville, MD (Prince George’s County)
Pay & Growth
- Starting pay: $23/hour (flexible based on experience)
- Initially 1099 Contractor, with future W-2 employment in mind
- Opportunities for increased responsibility and growth into an Office Manager role
Key Responsibilities
Administrative & Office Support
- Manage calendars, appointments, and scheduling
- Coordinate transportation (Uber, staff/client logistics)
- Track and order office and program supplies
- Maintain organized digital and physical files
- Support compliance tracking and documentation readiness
Client Intake & Front Office
- Answer phones and respond to inquiries professionally
- Schedule intakes, assessments, and follow-up appointments
- Assist with intake paperwork and EMR uploads
- Greet clients, collect copays, and support a welcoming office environment
- Communicate effectively with staff and leadership
Technology & Systems
- Daily use of Google Workspace (Calendar, Drive, Docs, Sheets)
- Excel or Google Sheets for tracking and logs
- EMR/EHR systems (behavioral health experience strongly preferred)
- Phone, email, and transportation apps
- Follow established procedures and communicate when issues arise
Required Qualifications
- Bachelor’s degree required (healthcare administration, business, psychology, social work, or related field preferred). Willing to accept Associate's, with experience.
- 2–3 years of administrative experience, preferably in healthcare or behavioral health
- Fluent in Spanish (required)
- Strong organizational and computer skills
- Professional communication and discretion
- Ability to manage multiple tasks in a busy office environment
