ADMINISTRATIVE MANAGER

Position Summary

The Administrative Manager plays a key role in supporting the operational effectiveness of the organization. This position goes beyond traditional administrative support and helps coordinate internal systems, manage organizational workflows, and ensures strategic initiatives move forward efficiently. The ideal candidate is highly organized, proactive, systems-minded, and comfortable handling both administrative and operational responsibilities in a small nonprofit setting.

This Full-Time Employment position offers an exciting opportunity to make a meaningful impact in the fight against human trafficking and to empower individuals and communities. This small nonprofit has significant reach nationally.

Key Responsibilities

Operational/Program Coordination

  • Track organizational goals, timelines, and key initiatives and programs to ensure progress and accountability
  • Help develop and maintain internal systems, processes, and documentation
  • Coordinate cross-functional communication between staff, volunteers, constituents and leadership
  • Assist in developing workflow systems to improve efficiency
  • Monitor project deadlines and follow up with responsible parties
  • This role will report to the Executive Director and will work with the Board Chair or President on occasion for key projects.
  • Will require some travel

Executive & Strategic Support

  • Manage the Exec. Director’s calendar and others requests in alignment with strategic plan
  • Prepare meeting agendas, strategic reports, and internal communications
  • Support implementation of strategic plans and board directives
  • Research and prepare briefing materials for meetings and presentations
  • At times represent the Executive Director doing strategic meetings or presentations
  • Track board action items and governance deadlines
  • Identify any additional funding opportunities

Administrative & Organizational Systems

  • Oversee document management and organizational recordkeeping
  • Maintain CRM or database systems (donor, program, or stakeholder tracking)
  • Assist with budget tracking and expense reporting
  • Manage vendor relationships and service contracts

Qualifications

Required

  • Bachelors Degree and 3-5 years of administrative, operations, or project/program coordination or management experience
  • Strong organizational and project management skills
  • Excellent written and verbal communication
  • Personable and able to effectively work with high level executives
  • High level of discretion and professionalism
  • Proficiency in Google Workspace, Salesforce, Gmail, Canva, Power Point, WordPress, Microsoft Office, Monday.com, and all Social Media Platforms
  • Ability to manage multiple priorities independently
  • Experience supporting an Executive Director
  • Proven ability to do public speaking

Compensation

Benefits: Medical, Dental, Vision, Two-week accrued PTO

Salary Range $50,000 - 60,000 based on experience
