Position Overview
We are seeking a professional and self-motivated Legal Site Supervisor to oversee the daily operations of a small legal office. This is a one-person onsite role requiring the ability to work independently while providing exceptional customer service and operational support in a fast-paced legal environment.
The ideal candidate will have experience supporting legal office operations, including mail services, shipping and receiving, print and scan services, reception, hospitality, and administrative support. This role involves frequent interaction with attorneys, legal staff, executives, clients, and vendors while ensuring smooth day-to-day office operations.
Key Responsibilities
Oversee daily onsite operations in a legal office environment.
Manage mailroom, shipping, receiving, courier, and package handling activities.
Operate and maintain office equipment, including copiers, printers, scanners, and mail processing equipment.
Provide front desk, reception, hospitality, and visitor support.
Handle confidential legal documents with a high degree of accuracy and professionalism.
Support document production, scanning, copying, and printing projects while meeting strict deadlines.
Coordinate office supplies, inventory, and vendor requests.
Process client chargebacks and maintain accurate operational records.
Assist with scheduling equipment, labor, and supplies for offsite legal proceedings when needed.
Train staff on workflow processes and equipment operation as required.
Ensure quality standards, workflow efficiency, and compliance with operational procedures.
Prepare site reports, operational documentation, and month-end reports.
Monitor payroll timekeeping accuracy and maintain operational documentation.
Serve as the primary onsite contact for customer inquiries and service requests.
Build strong relationships with attorneys, legal assistants, paralegals, project managers, and executive-level personnel.
Qualifications
High school diploma or GED required.
Minimum 2 years of experience in office operations or a related field.
Legal industry experience strongly preferred.
Experience supervising or leading daily office operations.
Experience providing employee training or workflow guidance.
Strong organizational, communication, and customer service skills.
Ability to prioritize multiple tasks in a fast-paced environment.
Comfortable working independently with minimal supervision.
Experience using office equipment, including copiers, scanners, printers, and mail processing equipment.
Familiarity with legal document workflows, litigation support, court filings, depositions, or closing binders is a plus.
Experience with legal chargeback systems (e.g., Copitrak or Equitrak) is a plus.
