We're looking for an accounting & administrative assistant who enjoys bringing organization to busy days, takes pride in accuracy, and loves being the person others can count on. This is a unique role that blends accounting support with office operations, making it perfect for someone who likes variety.

What You'll Do

Accounting & Financial Support

  • Process and review select vendor invoices, ensuring charges are accurate and properly categorized
  • Assist with accounts payable, including invoice payments and wire documentation
  • Make remote bank deposits
  • Organize credit card receipts and review statements for accuracy
  • Prepare monthly customs and duty reports
  • Maintain select vendor information and customer payment portals
  • Support audits and provide accounting assistance as needed
  • Help maintain both physical and digital financial records

Office Operations

  • Manage incoming mail and distribute documents
  • Keep the office stocked with supplies, snacks, and beverages
  • Maintain office inventory and coordinate equipment maintenance
  • Monitor the company voicemail system
  • Keep common areas clean, organized, and welcoming
  • Coordinate office maintenance and routine facility tasks

Team & Customer Support

  • Help plan company celebrations, holiday events, and team birthdays
  • Assist with customer meetings by coordinating lunches, refreshments, and showroom preparation
  • Arrange travel accommodations when needed
  • Run occasional local errands and assist with special projects that keep the office running smoothly

We're Looking For Someone Who...

  • Is highly organized and enjoys keeping things running efficiently
  • Has strong attention to detail and takes pride in accurate work
  • Is comfortable juggling multiple priorities and shifting between accounting and administrative tasks
  • Communicates professionally and enjoys working with people across different departments
  • Is dependable, proactive, and willing to jump in wherever help is needed
  • Enjoys working in a collaborative, team-focused environment
  • Has experience with Microsoft Office; experience with QuickBooks is a plus
  • Has 2-4 years experience in office administration, accounting support, accounts payable, or a similar administrative role

Schedule

This is a part-time position capped at 20 hours per week. The schedule is flexible. Ideally, we'd like someone in-office at least 3 days per week. Our office hours are Monday-Friday 8:00am-4:30pm.
