About the Role:
Our client, a leading organization in the Asset & Wealth Management space, is seeking a highly organized and proactive Administrative Assistant to support executive teams in a fast-paced, dynamic environment. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities with discretion and professionalism.
Key Responsibilities:
- Provide high-level administrative support within a team-oriented environment, with flexibility to assist multiple teams as needed
- Manage complex calendars across multiple time zones, including scheduling meetings, prioritizing requests, and coordinating logistics
- Handle a high volume of incoming calls, take accurate messages, and interact professionally with senior leaders and clients
- Coordinate domestic and international travel arrangements, including visa processing and expense reporting
- Organize internal and external meetings, including conference room bookings, catering, guest registration, and materials preparation
- Perform general administrative duties such as data entry, filing, scanning, mailing, and document management
- Maintain confidentiality while handling sensitive client and business information
- Act as a key team member by staying informed on priorities and proactively providing support
- Ensure compliance with internal policies and approval processes
Required Qualifications:
- Proven experience as an Administrative Assistant supporting senior executives in a complex, fast-paced environment (financial services, corporate, or government preferred)
- Strong judgment and discretion when handling confidential information
- Excellent interpersonal and teamwork skills with the ability to collaborate across global teams
- Ability to remain calm under pressure while managing multiple priorities efficiently
- Strong written and verbal communication skills with a professional demeanor
- Exceptional organizational skills and attention to detail
- Self-starter with strong problem-solving and follow-up skills
- High level of integrity, professionalism, and diplomacy
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Zoom
- Experience with expense management tools such as Concur or similar platforms
Preferred Qualifications:
- Experience supporting teams in Asset & Wealth Management or similar industries
- Familiarity with global scheduling and executive-level coordination
