As an Administrative Assistant, you will play a vital role in supporting multiple managers by performing varied administrative work that requires in-depth organizational knowledge and judgment. You will proactively anticipate customer needs, demonstrate initiative, and add significant value to the department's activities while handling sensitive data with extreme discretion. This role is essential for streamlining workflows and ensuring the seamless execution of business priorities through expert coordination and support.
Responsibilities
Salary Range $76,800.00 - $96,000.00 USD
Pay is determined based on experience, qualifications, and location. Salaried employees may also be eligible for discretionary bonuses, profit-sharing, and long-term incentives for Executive-level roles.

Additional benefits include a minimum of 15 vacation/PTO days (hourly employees receive a minimum of 120 hours) and 13 paid holidays (vacation days are prorated based on the employee's hire date within the calendar year). Paid sick leave is adjusted based on role and location in accordance with local laws. Responsibilities
- Meeting and Event Management: Provides comprehensive administrative and logistical support for onsite and off-site meetings, including troubleshooting equipment, coordinating with stakeholders across multiple locations, and managing catering or special event setups.
- Travel Coordination: Independently manages complex domestic and international travel itineraries, secures required visa documentation, and prepares travel expense reports with minimal supervision.
- Financial Administration: Owns the end-to-end Purchase Order which includes monitoring budget expenses, resolving invoice discrepancies, and setting up vendors in the Ebuy system.
- Executive Communications: Creates and edits high-level presentations and correspondence with sharp attention to detail and manages departmental communication tools such as Google distribution lists and organization charts.
- Departmental Operations: Oversees office logistics, including inventory maintenance of the product closet, floor plan updates, and facilitating the onboarding/offboarding process for employees regarding IT equipment and workspace setup.
- Bachelor’s Degree
- Minimum of 7 years of experience in an executive or high-level administrative support role.
- Demonstrated proficiency using G Suite products (Gmail, Sheets, Docs, Slides, Google Meet), Concur expense management, and AMEX travel management systems.
- Proven ability to manage tasks effectively in a fast-paced, high-volume environment under pressure and strict deadlines.
- Possesses strong analytical capabilities and a high degree of attention to detail.
- Demonstrated project management skills and a focus on continuous improvement and documentation.
- Self-starter who works well without detailed supervision and has a strong ability to prioritize competing work demands.
- Displays a collaborative nature and team spirit.
