What are the responsibilities and job description for the Safety Coordinator position at IMC Companies LLC?
Work Schedule Comments: Primarily M-F, 8am – 5pm, overtime as necessary
Position Overview: This is an entry level administrative position in our Safety and Risk Management Department. The Safety Coordinator will review tag paperwork for accuracy and submission. Applicants should be detail oriented, have data entry skills, proficiency in Outlook, good computer skills and customer service. Maintaining spreadsheets, databases and accurate documentation is essential for success in this position. Additional assistance to the Safety Office Manager is required as needed. Transportation experience is not required, but is a plus.
Essential Job Functions:
- Review and process Owner Operator/OO (Independent Contractor) tag requests
- Maintain OO tag spreadsheets – adding, terminating, tag balances, transfers, etc
- Process OO escrow releases
- Maintain documentation on tag equipment programs
- Maintain and manage databases monthly, including database for PrePass Transponders including ordering/replacing transponders as requested
- Review and process invoices
- Complete monthly TABC/Permit reporting
- Order and maintain IFTA decals and update IFTA miles monthly
- Maintain current HazMat permit, SCAC, IFTA license, UCR and all Alcohol licenses
Additional Job Functions:
- Provide the field with registrations for tractors/chassis when requested
- Backup to insurance certificates
- Order and distribute office supplies for the safety office and maintain inventory
- Pick up and distribute mail and FedEx for the safety office
- Other duties as assigned
Other Skills/Abilities:
- General Computer/Microsoft Office Literacy (Excel, Power Point, Word & Outlook)
- Good communication and Customer Service Skills required
- Trucking Industry Experience is a plus
- Must be able to prioritize duties
- Some flexibility to work overtime as needed
- Work well under pressure
- Ability to multitask
