Overview
We are seeking a full-time Project Coordinator / Inside Sales team member to support the daily operations of our sign company. This role is responsible for managing incoming work, coordinating with installers, assisting customers, and ensuring jobs move smoothly from initial request through completion and billing.
This position requires the ability to interpret job information, communicate clearly with field crews, and manage project details with accuracy. You will be handling incoming requests, organizing work for the installation team, and keeping projects moving efficiently across multiple stages.
While the role is primarily office-based, it will also require site visits to take photos, measurements, and gather project information.
This position is best suited for someone who is organized, detail-oriented, comfortable on the phone, and able to manage multiple responsibilities in a fast-paced environment. Experience handling customers, coordinating work, or managing projects is preferred.
Duties
Project Coordination
- Review incoming job requests, work orders, and project information
- Interpret scope of work and distribute jobs to installers appropriately
- Coordinate scheduling and communicate timelines with installers and customers
- Track job progress and follow up to ensure timely completion
Customer Communication
- Answer incoming calls and emails from customers
- Communicate job status, scheduling, and updates clearly and professionally
- Serve as a point of contact between customers and installation teams
- Establish and maintain site contacts when needed
Estimating & Order Review
- Develop a working understanding of sign types, installation requirements, and service work
- Gather information from installers to assist in preparing quotes
- Interpret drawings, photos, and job details to understand project scope
- Identify potential issues and clarify scope before work begins
Vendor Coordination
- Communicate with external vendors and fabricators to request quotes and confirm project scope
- Coordinate production timelines and delivery schedules with vendors
- Provide clear job information, drawings, and specifications to ensure accurate fabrication
- Follow up on orders to ensure timelines are met and issues are addressed promptly
- Work with vendors and internal teams to resolve discrepancies, delays, or quality concerns
Site Visits
- Visit job sites to take photos, measurements, and gather project details
- Provide accurate information to support quoting and production
- Represent the company professionally in the field
Administrative & Billing Support
- Prepare and manage work orders and job documentation
- Coordinate with vendors and suppliers as needed
- Assist with billing and invoicing
- Maintain accurate records within company systems
