What are the responsibilities and job description for the Front Desk Representative position at IMA Financial Group?
ESSENTIAL JOB RESPONSIBILITIES include but are not limited to:
- Supports and demonstrates IMA's core values and understands the importance of diversity, equity, and inclusion among all IMA associates.
- Provides administrative support to Senior Leadership team members to include but not limited to development of spreadsheets, PowerPoint and other presentation materials and spreadsheets, and preparation of monthly expense reports via Concur
- Coordinates travel arrangements and schedules meetings, as requested
- Plans special events, board meetings (internal and external), client functions and Community Events, i.e., United Way
- Prepares meeting agenda/materials for all office meetings and management meetings
- Ensures conference rooms and pantry area are kept orderly and stocked with appropriate supplies
- Performs miscellaneous duties and projects as assigned by Senior Leadership and other departments, as necessary
- Interacts professionally with visitors and associates by answering the main phone line and greeting visitors and staff
- Sorts and distributes faxes and mail
- Responsibility for appearance and upkeep of the office, and acts as Gatekeeper of office visitors for security and disaster recovery purposes
- Assists in maintaining office equipment and inventory supply
- Provide clerical and administrative support to associates including print jobs, spreadsheets, proposal assembly, and special projects as assigned.
- Assist with conference room set up and services as needed.
- Perform notary responsibilities for IMA work
REQUIRED EXPERIENCE AND SKILLS include but are not limited to:
- Six months or more of similar or related experience preferred
- Experience with MS Office products required (specifically PowerPoint, Outlook, Word, and Excel)
- Notary Public license preferred or the ability to obtain Notary Public license
- Bachelor's Degree preferred or equivalent experience
