Reporting to the Executive Director of Teaching & Learning, provides highly skilled administrative support to the Executive Directors of Teaching & Learning and Specialized Instruction and other administrators in the centers.
DUTIES AND RESPONSIBILITIES:
- Provides administrative support for the Executive Directors of Teaching & Learning and Specialized Instruction and other administrators as assigned.
- Provides support through computer-based tasks such as keyboarding, formatting, proofreading and editing documents; entering data into databases; and finalizing various forms of correspondence, reports, and presentations. Responsibilities also include organizing and maintaining files, responding to or directing inquiries, scheduling appointments, coordinating meeting arrangements, and consistently upholding confidentiality and professionalism.
- Provides coordination assistance across the Education center through collaboration with other Administrative Assistants and Program Specialists.
- Serves as timekeeper for Teaching and Learning and Specialized Instruction.
- Serves as backup timekeeper for other Education departments as assigned.
- Maintains Management Information Database Accounting System (MIDAS) for contracts and invoices, reimbursements and expense claims associated with the accounting unit.
- In coordination with the Agency's records management coordinator, serves as department liaison for records management.
- Performs other duties as assigned.
REQUIRED QUALIFICATIONS:
- High school diploma or equivalent.
- At least two years of administrative support or programmatic experience in an office setting involving typing, computer work, use of software applications, scheduling, or customer service.
- Proficiency in Microsoft Office applications and the Office 365 online platform including, but not limited to, Word, Excel, PowerPoint, Outlook, Forms, and Teams.
- Skilled in written and oral communication.
- Demonstrated interpersonal skills and a customer service orientation.
- Ability to maintain confidentiality and professionalism at all times.
- Attention to detail.
PREFERRED QUALIFICATIONS:
- Some college or postsecondary technical training.
- Experience with a public school system either as an employee, parent, or involved community member/volunteer.
- Experience working with or for federal, state, or local governments.
- Knowledge of continuous improvement. Ability to prioritize messages and tasks based on importance and urgency with limited support.
