Human Resources Coordinator

This exempt position is primarily responsible for supporting the Human Resources team with a variety of tasks including onboarding, new hire orientation, employee records management, compliance, audits, and facilitating key functions of the Human Resources Department. 


Examples of the essential job functions are listed below. This list is not exhaustive and other tasks may be assigned at the sole discretion of management. The HR Coordinator reports directly to the Human Resources Director.


This is a full time exempt position located on site at our Long Beach, CA headquarters. This is an in office position, with the option to work remotely on Friday.


RECRUITING

  • Manages job postings on various job boards. 
  • Creates offer letters and follows up with hiring efforts. 
  • Tracks and Manages advertising postings and spend on a weekly basis. 
  • Screens applicants and provides insight to General and/or Area Managers.
  • Assists in scheduling and/or executing interviews for the General and/or Area Managers on an as needed basis.
  • Provides assistance with comparative pay ranges and/or job duties.
  • Executes candidate screening, interviews, hiring, and onboarding new employees on an as needed basis.
  • Schedules introductory calls with new GM’s for all department heads. 
  • Maintains employee files including I-9 management through E-Verify, medical records, workers compensation, unemployment, and disability forms. 
  • Audit ADP profiles and assist in managing onboarding efforts.
  • Provide access to various systems including but not limited to ADP and timekeeping. 
  • Provide support to the field in troubleshooting onboarding and timekeeping software.


METRICS AND REPORTING

  • Provides metrics on employees including but not limited to hiring, turnover, retention, and tenure. 
  • Reports out on New Store Opening hiring efforts.
  • Tracks harassment training for new and existing employees.  
  • Assists in tracking training for crew and shift leaders.
  • Assists in tracking Staffing calculators for AM’s. 
  • Tracks and reports out on referral and sign on bonuses. 
  • Manages post departure surveys for employees and reports back to management. 
  • Tracks GM paperwork and training efforts.
  • Tracks Sign on and Referral bonuses and reports to Ops and HR for approvals. 
  • Submits and reports out on company surveys both post hire and for other various needs.


ADMINISTRATIVE

  • Provides administrative support for the HR Department and Payroll department. This may include assistance for the Operations department as integrated with the HR department. This includes but is not limited to:
  • Assisting in payroll preparation tasks including final paycheck preparation. 
  • Audits employee files for compliance. 
  • Provides support with ADP and Teamwork (timekeeping portal) for new and existing employees. 
  • Tracks work permits for minors and assures compliance. 
  • Tracks I-9 forms and assures updates and compliance. 
  • Assists with various filing tasks for the department.
  • Assists the Operations department with tracking AM staffing calculators.
  • Prepares and submits BLS statistical information.  
  • Provides candidate screening, interviewing, hiring and onboarding support for new store openings and existing stores on an as needed basis.
  • Creates compliance packets for new stores and updates existing stores with labor posters, workers compensation information, and other necessary documents.
  • Tracks New Store Opening efforts as needed including GM development.
  • Creates presentations for the corporate team including video recordings for training purposes.
  • Assists in planning company sponsored events including executing travel plans, accommodations, and other related tasks.  
  • This is not an exhaustive list and other duties may be assigned by the HR Director


REQUIRED EDUCATION AND EXPERIENCE 

  • High School Diploma / GED is required
  • 1 year of administrative office support experience
  • Ability to operate in Google Office Suite including Excel and Word
  • Problem solving and critical thinking skills
  • Fluent English language skills are required of this position.


PREFERRED EDUCATION AND EXPERIENCE

  • College Degree preferred
  • 2 years in a Human Resources Department 
  • Experience with ADP Workforce Now 
  • Bi-lingual English and Spanish highly preferred
  • Experience in the quick service restaurant industry is a plus


PRE-EMPLOYMENT

Incumbents must sign the Company Confidentiality, Non-disclosure, and Non-solicitation Agreement prior to their first day on the job, as well as an arbitration agreement.


BACKGROUND CHECK AND E-VERIFY

Offers of employment are contingent upon successful completion of a background check and work authorization through E-Verify.


BENEFITS

Health benefits are available 60 days after the first date of employment, on the first day of the month. 401K is available after one year of employment. Paid time off will begin to accrue after 90 days in position, with an allocation of 80 hours per year.

IN GENERAL


The duties described above are an overview of the functions of the HR Recruiter, and may not be fully inclusive of the duties and tasks required for this position. The expectations and duties may change based on the needs of the company and will be assigned at the discretion of the HR Director. Management will communicate all goals and objectives clearly to the HR Coordinator and will work with this position to assure it is feasible for all tasks to be accomplished. 


The HR Coordinator is expected to provide excellent customer service to both new and existing employees and fellow staff members. This individual shall complete all tasks and duties with the outcomes for the company in mind, work with team members and management to achieve the goals of the company, and work with administrative efficiency. 


This position requires the ability to work with integrity and confidentiality at all times. 


There may be frequent time sitting, time spent on the telephone, repetitive use of hands to operate computers, printers, and office equipment, standing, bending, and stooping, twisting of waist side-to-side, turning and flexion of the neck, lifting and  carrying objects weighing up to 50 pounds. SALARY RANGE

Pay will range from $72,000 - $77,000 based on qualifications and experience.
