Responsibilities
This is not a data-entry position. As our Billing & Finance Operations Specialist, you will own the full AP and AR cycle for Ideation — keeping our financial systems clean, accurate, and current across a multi-platform environment. You will work directly under the Finance & Operations Manager and serve as the independent anchor of the finance function day to day — running AR autonomously and supporting AP through to manager approval.
We operate across a range of tools — commonsku, Bill.com, QuickBooks Online, multiple PO portals, payment gateways, and company e-commerce stores — and this role requires someone who can not only become fluent in these systems but proactively maintains and improves them. If a process doesn’t exist, you’ll write it. If something’s inefficient, you’ll own the fix.

Qualifications
- Have 2–4 years of hands-on AP/AR experience — or a shorter track record with demonstrable depth (internships, part-time bookkeeping, owner-operated business finance, etc.).
- Proficiency in QuickBooks Online and Bill.com.
- Comfort with Office 365, including Outlook and Excel.
- Strong attention to detail and follow-through — nothing gets dropped.
- Excellent communication skills for coordinating with vendors, clients, and the internal team.
- Ability to manage competing priorities in a fast-paced, lean environment.
- An Associate's degree in Accounting, Finance, or a related field is a nice-to-have — but we're more interested in what you've actually done than what's on your diploma. Equivalent hands-on experience is equally considered.
