Responsibilities
- Greet visitors warmly, verify appointments, and direct them appropriately within the office
- Manage multi-line phone systems with professionalism, answering inquiries promptly and courteously
- Handle incoming calls, take messages, and transfer calls efficiently using proper phone etiquette
- Maintain organized files, data entry records, and manage document proofreading to ensure accuracy
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools
- Assist with clerical duties including filing, photocopying, and updating office supplies inventory
- Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare correspondence and reports
Qualifications
- Proven office experience or administrative background with strong organizational skills
- Excellent communication skills in both English and bilingual capabilities (if applicable)
- Proficiency in computer literacy including typing, data entry, Microsoft Office applications, Google Workspace, and familiarity with multi-line phone systems
- Prior customer service experience with a focus on phone etiquette and customer support techniques
- Ability to manage time effectively in a busy environment while maintaining attention to detail
- Experience with office management software such as QuickBooks or bookkeeping tools is a plus
- Previous roles as a medical or dental receptionist or personal assistant are advantageous but not required
