A well-established law firm is seeking a Chief Administrative Officer to oversee the firm’s day-to-day administrative, financial, and operational functions. This is a key leadership role for someone who is steady, professional, highly organized, and comfortable partnering closely with firm leadership while managing the business side of the practice.
Responsibilities include:
- Oversee daily administrative and office operations for the firm
- Partner closely with attorneys/firm leadership on business, administrative, and operational matters
- Manage and support a small internal team, including bookkeeping, administrative, and front desk/reception staff
- Provide oversight of bookkeeping, accounting processes, billing, timekeeping, and financial reporting support
- Ensure billing and time entry processes are accurate, timely, and consistently followed
- Manage vendor relationships, office services, supplies, contracts, and general facilities needs
- Support HR-related administration, including benefits, 401(k), onboarding, employee records, and staff coordination
- Help improve processes, procedures, workflows, and internal communication
Ideal background:
- Experience in a law firm, accounting firm, CPA firm, or professional services environment strongly preferred
- Strong understanding of billing, timekeeping, bookkeeping/accounting coordination, vendor management, and office operations
- Prior experience managing administrative support staff
- High emotional intelligence and strong judgment
- Polished communication style and ability to work with attorneys, staff, vendors, and clients
