Position Summary
We are seeking a professional, dependable, and customer-focused Receptionist to serve as the first point of contact for visitors, employees, and business partners. This role requires exceptional communication skills, strong organizational abilities, and a proactive approach to supporting daily office operations. Key Responsibilities
Front Desk & Visitor Management
- Greet visitors, clients, and employees with a professional and welcoming demeanor.
- Manage visitor sign-in procedures and direct guests to the appropriate personnel or meeting rooms.
- Maintain a positive first impression of the organization.
Communication Management
- Answer, screen, and direct incoming phone calls.
- Respond to general email inquiries and route communications appropriately.
- Take and relay accurate messages in a timely manner.
Administrative Support
- Provide general administrative assistance, including filing, scanning, photocopying, and data entry.
- Prepare and distribute basic correspondence, memos, and documents.
- Support departmental projects and administrative tasks as assigned.
Office Coordination
- Maintain a clean, organized, and welcoming reception area, lobby, and conference rooms.
- Assist with meeting preparation and room setup as needed.
Mail & Shipping Services
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Coordinate outgoing mail and courier shipments.
Scheduling & Logistics
- Assist with scheduling meetings and managing conference room reservations.
- Support appointment coordination and travel arrangements as requested.
Inventory & Supply Management
- Monitor office and kitchen supply inventory levels.
- Order and replenish supplies to ensure business needs are met.
Qualifications
- Minimum of 2 years of experience in a corporate administrative or reception environment.
- High School Diploma or equivalent required.
- Strong customer service mindset with a proactive and professional approach.
- Highly organized with the ability to manage multiple priorities and meet deadlines with minimal supervision.
- Excellent follow-up and communication skills, both written and verbal.
- Demonstrated ability to work collaboratively across departments in a complex organization.
- Professional appearance, dependable attendance, and a strong work ethic.
- Ability to remain patient, positive, and resourceful while managing visitor and call traffic.
- Adaptable and able to learn quickly in a continuously evolving environment.
Technical Skills
- Proficiency with Google Workspace (Docs, Sheets, Gmail, Calendar).
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Experience with data entry and document management systems is preferred.
- Ability to create professional correspondence and basic spreadsheet reports.
