The purpose of the Dispensary Manager is to manage and oversee the procurement, inventory, and distribution of the necessary medications to care for our patients. Given the small staff and diverse range of tasks, all staff members are expected to have exceptional teamwork skills. This job description serves as a guide to the job duties and must remain flexible to respond to the needs of the Shifa Free Clinic.
The Dispensary Manager reports directly to the Director of Clinic Services and helps manage the responsibilities of the Patient Assistance Program, Vaccines and Outreach related to vaccines. Also has a dedicate few hours a week towards quality improvement project of Best Chance Network.
JOB RESPONSIBILITIES
- Taking inventory of all medication and pharmaceutical supplies.
- Directing all patient questions relating to prescriptions, health matters, or medications to the physician.
- Creating and maintaining patient files, placing orders for pharmaceutical supplies
- Gather and enter patient information and doctor’s prescriptions in computer system
- Answering all incoming telephone calls in a professional manner.
- Restocking shelves with medications and other pharmaceutical supplies.
- Accurately typing and printing out prescription labels.
- Attending to emails and fax messages.
- Coordinate/submit/track Patient Assistance Program (PAP) from application to disbursement to refill.
- Track reorder dates on all medications for each patient and ensure reorders are done timely, to ensure continuous supply of medications.
- Track overall medication use, including the use of prescriptions.
- Maintain accurate records including but not limited to: medication pricing data, medication.
- Properly dispose of outdated medications.
- Perform proper oversight and ensure proper implementation of vaccine ordering, inventory, and storage/handling of federally and state donated vaccines.
- Work with volunteer coordinator in preparing outreach vaccine event.
- Ensuring that work areas are organized and clean.
- Other tasks as assigned by Administrator
Be a part of the team for Quality improvement project of Shifa Clinic programs.
- Coordinates the development, implementation and revision of the QI program to meet the needs of patients, staff, and external agencies.
- Organizes, compiles, and reports QI data for team to identify trends, establish priorities, and recommend improvement activities.
- Serves as a working member of the clinic’s quality council; attends QI sessions and other pertinent meetings to ensure the organization's overall QI plan implementation and compliance.
Qualifications Required
- Minimum Bachelors with preferrence to Masters degree
- Proven experience assisting in a pharmacy highly preferred
- Proficient in all Microsoft Office applications.
- Detail-oriented and accurate.
- Trustworthy.
- The ability to work as part of a team.
- Excellent communication skills.
- Exceptional customer service skills.

Travel Requirements:
ICNA Relief is a national organization with operations across various states, therefore the candidate must be willing and prepared to travel for official work/assignment at 24-hour notice.

ICNA Relief is a faith-based not-for-profit organization, and our services are made possible through contributions from donors and volunteers who need to be approached and engaged at all times. As employees of ICNA Relief you may be required, at times, to drive the organizations’ vehicle and are hence required to have a clean traffic record with no outstanding citations as you will be representing ICNA Relief.
