Ice Carrier Warehouse Inc is seeking a reliable, detail-oriented, and proactive Customer Service Representative to support daily trucking and warehouse operations. This role requires a strong problem solver who can handle issues efficiently, communicate effectively with customers and brokers, and ensure smooth coordination using our Transportation Management System (PortPro). The ideal candidate is organized, responsive, and thrives in a fast-paced logistics environment.
Key Responsibilities
Customer & Broker Communication
- Serve as the main point of contact for customers and brokers
- Provide real-time updates on load status, delays, and delivery confirmations
- Respond to emails and phone calls promptly and professionally
- Build and maintain strong relationships with customers and partners
Load Tracking & Updates (PortPro)
- Monitor and update load statuses in PortPro
- Track shipments from pickup to delivery, ensuring accurate and timely updates
- Notify customers and brokers of any issues such as delays, reschedules, or problems at pickup/delivery
Problem Resolution
- Identify, troubleshoot, and resolve service issues (late pickups/deliveries, missing documents, etc.)
- Take initiative to find solutions quickly and prevent recurring issues
- Coordinate with dispatch and operations to resolve problems efficiently
- Escalate urgent or complex situations when necessary
Documentation & Data Entry
- Ensure all load-related information is accurate in PortPro
- Upload and manage documents such as BOLs and PODs
Administrative Support
- Assist operations team with daily tasks and coordination
- Support billing team by ensuring paperwork is complete and accurate
- Perform other duties as assigned
Qualifications
- High school diploma or equivalent
- Experience in customer service, preferably in trucking or logistics
- Familiarity with PortPro or other TMS systems is a plus
- Strong communication and interpersonal skills
- Excellent problem-solving and critical thinking abilities
- Ability to multitask and stay organized in a fast-paced environment
- Basic computer skills (email, data entry, Microsoft Office)
