What are the responsibilities and job description for the Administrative Assistant position at IAP Worldwide Services, Inc?
Position is contingent upon contract award
The Administrative Assistant will have the ability to work independently and must be able to work under pressure at times to handle a wide variety of activities and sensitive matters with discretion. Completes a broad range of administrative tasks for the AD-S, CAE, and Deputy CAE including managing an extremely active calendar of appointments; assistance with MHS transition activities; composing and proofreading correspondence that are sometimes sensitive in nature; arranging complex and detailed travel plans, itineraries, and agendas.
ESSENTIAL JOB FUNCTIONS : (not limited to duties as described – performs related duties as requested)
Answer and direct phone calls, take messages, and handle correspondence
Schedule meetings, appointments, and travel arrangements for managers or supervisors
Maintain filing systems, both electronic and physical
Prepare reports, memos, invoices, letters, and other documents
Assist with data entry, document management, and record keeping
Greet visitors and provide general support to clients and staff
Order office supplies and maintain inventory
Help prepare for meetings and take accurate meeting minutes
Perform basic bookkeeping and expense tracking
Ensure the office environment remains professional, organized, and efficient
EDUCATION & EXPERIENCE:
High school diploma or equivalent; associate’s or bachelor’s degree preferred
Proven experience as an administrative assistant, office assistant, or in a similar role
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Strong written and verbal communication skills
Excellent time management and organizational skills
Ability to multitask and prioritize daily workload
Discretion and confidentiality are essential
Familiarity with office equipment (printers, fax machines, etc.)
KNOWLEDGE & SKILLS:
Experience with scheduling tools or project management software
Basic knowledge of accounting or database systems
Customer service experience
