As our firm continues to grow, we're looking for a highly organized Administrative Assistant to support our Director of Project Management and help deliver an exceptional experience for our advisors. Role Overview
We are seeking a part-time Administrative Assistant to provide day-to-day support to our Director of Project Management while helping drive advisor growth initiatives. This role is ideal for a highly organized, detail-oriented individual who enjoys working with people, managing multiple priorities, and keeping projects moving forward. The successful candidate will have strong customer service skills, excellent organizational abilities, and a proactive, growth-oriented mindset. They will play a key role in coordinating administrative tasks, tracking projects, supporting advisors, and contributing to an efficient and collaborative team environment.
Key Responsibilities
- Assist with tracking projects, deadlines, and action items to ensure timely completion.
- Coordinate communications between internal teams, advisors, and external partners.
- Deliver exceptional customer service by responding to advisor inquiries and directing requests appropriately.
- Prepare, organize, and maintain documents, reports, and project files.
- Monitor and update task management systems to ensure projects remain on schedule.
- Assist with onboarding and administrative support for new advisors.
- Support advisor growth by assisting with project execution, marketing coordination, and operational processes.
Qualifications
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- 2 years of administrative, office support, project coordination, or customer service experience preferred.
- Excellent organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
- Strong written and verbal communication skills.
- Exceptional attention to detail and accuracy.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint); experience with project management or CRM software is a plus.
