๐ฏ Job Summary
The IAM National Benefit Fund Office Employer Services Coordinator plays a crucial role in maintaining fund records and performing analytical and detailed functions related to the employer's experience.This includes managing the onboarding, enrollment, maintenance, and renewal of Benefit Trust Employers, and serving as the primary point of contact for researching and processing terminations of employers within the IAM National Pension, 401(k), and Benefits Trust Funds in coordination with our Legal Counsel and applicable departments.
๐ ๏ธ Key Responsibilities
- Review of Collective Bargaining Agreements (CBAs), Participation Agreements (PAs), Memorandums of Understanding (MOUs), Letters of Understanding (LOUs) language for new and current employers;
- Input CBA/PA data into the Funds V3 benefit administration system for new Benefit Trust Fund (BTF) employers and unions;
- Review different notifications of termination, Change In Contract Holder, Sale of Assets, de-certifications, etc.;
- Maintain Benefit Trust employer records regarding CBA contracts, Participation Agreements, orientation, probationary, open enrollment periods, and contract renewal dates within the Benefit Administration System;
- Email Annual notification updates to participating BTF Employers;
- Perform monthly rate updates for BTF Employers, ensuring all rate increases are accurately and timely updated in the system;
- Ensure BTF accounts submit updated Participation agreements with each renewal CBA;
- Performs cross-checks with all Employers annually to confirm current ESS access updates for BTF Employers;
- Respond timely to inquiries from bargaining parties and coordinate response as appropriate with other departments across the Fund;
- Develop and maintain a SharePoint CBA/PA data matrix to update key stakeholders of agreement expirations, plan changes, and or terminations;
- Assist employers and unions on the utilization and functionality of the Employer Self Service portal;
- Follow up with bargaining parties for outstanding information and documents;
- Contact bargaining parties as needed to resolve issues (ex, email, phone);
- Coordinate with Legal on litigation arising from CBA changes and disputes;
- Identify, diagnose, and track Fund-related issues to completion, including interdepartmental communication, status inquiries, and final follow-up;
- Ability to create ad hoc reports for a variety of requests and situations;
- Other duties as assigned.
๐ Qualifications and Knowledge, Skills, and Abilities
- Bachelorโs Degree; equivalent combination of education and experience may be considered;
- Previous administrative office experience;
- Five to ten years of Taft-Hartley Benefit Plan experience preferred;
- Proficiency in Microsoft Word and Excel with high accuracy;
- Experience with Vitech Software (preferred but not required);
- Strong organizational and time management skills with the ability to manage multiple tasks efficiently;
- Excellent communication and interpersonal skills to interact with internal and external stakeholders;
- Ability to work independently with minimal supervision while recognizing when to seek guidance from leadership;
- Strong problem-solving skills and attention to detail;
