The Role
We're looking for a self-starter to keep our two downtown offices running smoothly. This is a hands-on, in-person role that touches everything from stocked kitchens to smooth new hire first days. If you like variety, take pride in a clean and well-run space, and don't need someone telling you what to do next, this is your role.
What You'll Do
Office Upkeep
- Keep both kitchens stocked with snacks, drinks, and coffee; build the shopping list for the Executive Admin
- Regular cleaning and light maintenance (wiping counters, vacuuming) across both offices, including shared spaces like pods and conference rooms
- Reset shared spaces after staff events
Expense Support
- Scan receipts and follow up with vendors to retrieve missing ones
- Upload receipts into Expensify with clear, accurate descriptions
New Hire Onboarding
- Set up building key and fob access for each new hire and log it in our tracking spreadsheet
- Coordinate monthly parking memberships with ACE Parking
- Check in with new employees to make sure they have what they need, and loop in the Executive Admin on anything outstanding
Team Culture
- Send birthday cards a week in advance for every employee
- Jump in on other projects and admin tasks as they come up
What You Bring
- Comfortable with Windows and Microsoft Office, especially Outlook and Excel
- Self-starter energy: you spot what needs doing and do it
- Adaptable, since priorities here shift day to day
- Reliable and detail-oriented, especially with expenses and onboarding logistics
- Friendly, discreet, and comfortable being the person who touches every team member's first week
