About the Role

We’re looking for a Wholesale Sales Operations Coordinator to support the day-to-day operations of our growing wholesale business. This role is critical in ensuring orders, systems, and communication flow seamlessly from purchase order through delivery.

You’ll work cross-functionally with Sales, Production, Logistics, Merchandising, and Finance to keep everything moving — helping us scale efficiently while delivering a strong experience for our retail partners.

What You’ll Do

Sales Operations & Account Support

  • Maintain accurate customer and order data across systems (NetSuite, NuOrder, DSCO/Rithum, SPS)
  • Manage new customer setup including billing, routing, and compliance requirements
  • Communicate inventory updates, delivery timelines, and order status to internal teams and partners
  • Prepare weekly shipping reports and monthly account summaries
  • Support sales with ATS reporting, costing sheets, and pricing updates
  • Track style changes, cancellations, and updates across all systems

Order Management & Execution

  • Own the full lifecycle of wholesale POs from receipt through shipment
  • Allocate inventory and monitor fulfillment to ensure on-time delivery
  • Validate EDI transmissions and resolve discrepancies
  • Track production timelines, credit status, and potential order risks
  • Maintain organized order records and shipping logs
  • Support drop ship operations for key partners (Amazon, Nordstrom, etc.)
  • Partner with logistics and 3PL teams to resolve delays or compliance issues

Customer Service & Issue Resolution

  • Act as a point of contact for wholesale partners on order status and operational questions
  • Manage returns, swaps, and exchanges with warehouse and finance teams
  • Identify recurring issues and help improve processes
  • Ensure timely, accurate communication with all partners

Financial & Operational Support

  • Ensure POs, pricing, and terms are accurate for invoicing
  • Partner with Finance on credit checks, order holds, and risk management
  • Support invoice reconciliation and credit requests
  • Align shipment documentation (ASNs, packing lists) for smooth billing

Cross-Functional Collaboration

  • Work closely with Sales, Production, Merchandising, Logistics, and Finance
  • Communicate product updates and changes across teams
  • Support new processes, system improvements, and operational initiatives
  • Participate in key product and inventory meetings


What We’re Looking For

  • 3 years of experience in wholesale operations, sales ops, or customer service (fashion/apparel preferred)
  • Experience with systems like NetSuite, Shopify, NuOrder, DSCO (Rithum), or SPS Commerce
  • Strong attention to detail and ability to manage multiple priorities
  • Organized, proactive, and solutions-oriented
  • Comfortable working in a fast-paced, high-growth environment
  • Strong communication skills and follow-through
  • Proficiency in Excel / spreadsheets
  • Team player who can also work independently
