SUMMARY
Reporting to the Workflow Supervisor, the Data Entry Technician plays a critical role in processing prescriptions, maintaining communication with facilities and prescribers, and ensuring accurate pharmacy workflow operations.
The Data Entry Technician is responsible for handling incoming calls, processing prescriptions efficiently, resolving billing rejections, organizing workflow queues, and maintaining communication between pharmacists, production staff, nurses, and prescribers.
This role requires strong attention to detail, multitasking skills, and the ability to work efficiently in a fast-paced long-term care pharmacy environment.
ESSENTIAL FUNCTIONS

Responsibilities Include:
- Answer and triage incoming calls from nurses, physicians, facilities, foster homes, and caregivers.
- Provide professional and courteous customer service to facilities and patients.
- Process prescriptions accurately and efficiently using QS1 pharmacy software.
- Maintain and organize workflow queues, emails, and patient documentation in DocuTrack.
- Handle prescription billing claims, insurance rejections, and prior authorization follow-up.
- Process Medicare, Medicaid, Managed Care, and cash claims accurately.
- Communicate with physicians’ offices regarding refill requests, clarification requests, and missing prescription information.
- Enter electronic, faxed, verbal, and written prescriptions into the pharmacy system for pharmacist verification.
- Coordinate with pharmacists, filling technicians, and delivery staff to ensure medications are prepared and delivered on time.
- Maintain detailed patient notes and documentation for all communications and follow-up actions.
- Assist with medication synchronization and cycle-fill preparation.
- Ensure compliance with all federal, state, HIPAA, and long-term care pharmacy regulations.
- Prioritize urgent medications and same-day delivery requests when necessary.
- Support blister packaging workflow and long-term care medication management processes.

- Regular work schedule is approximately 40 hours per week (Monday–Friday), weekends, and holidays as needed.

- Employee is regularly required to speak, hear, stand, bend, and walk throughout the shift.
MINIMUM REQUIREMENTSEducation & Experience
- High School Diploma or G.E.D. required.
- 1–3 years of pharmacy data entry experience preferred.
- Long-term care pharmacy experience strongly preferred.
- PTCB certification is a plus.
Computer Skills
- Intermediate computer proficiency required.
- Experience with:
- QS1 Pharmacy Management System
- DocuTrack
- Primerx
- Microsoft Office and email systems
- Pharmacy billing platforms and insurance processing
Language Skills
- Ability to read and interpret prescription orders, medication documentation, and procedure manuals.
- Ability to communicate professionally with nurses, physicians, pharmacists, caregivers, and facility staff both verbally and in writing.
Mathematical Skills
- Ability to calculate quantities, days’ supply, percentages, ratios, and basic pharmacy math accurately.
- Ability to review reports and interpret workflow or billing data.
