Job Description

The Purchasing Clerk is responsible for supporting the procurement function by purchasing raw materials, packaging components, maintenance supplies, office supplies, and other goods required for operations within an FDA-regulated chemical manufacturing facility. This position assists with purchase order processing, vendor communications, inventory monitoring, and recordkeeping to ensure materials are available to support production while maintaining compliance with FDA Good Manufacturing Practices (GMP), company policies, and procurement procedures.

Duties & Responsibilities

· Create, process, and maintain purchase orders for raw materials, packaging components, maintenance supplies, office supplies, and other operational needs.

· Monitor inventory levels and coordinate with Production, Warehouse, Planning, and Quality departments to replenish materials and prevent shortages.

· Communicate with approved vendors regarding pricing, availability, delivery schedules, order confirmations, and shipment status.

· Follow up on outstanding purchase orders to ensure timely deliveries and resolve back orders or supply issues.

· Verify purchase requisitions for accuracy and ensure all required approvals are obtained prior to order placement.

· Review vendor acknowledgments, packing slips, invoices, and receiving documentation for accuracy and resolve discrepancies with vendors and Accounts Payable.

· Maintain accurate purchasing records, vendor files, pricing information, contracts, and procurement documentation.

· Assist with sourcing materials from approved suppliers while supporting vendor qualification requirements established by Quality Assurance.

· Coordinate with Receiving and Warehouse personnel to resolve issues related to damaged, incorrect, or incomplete shipments.

· Maintain accurate purchasing data within the company's ERP or inventory management system.

· Assist with inventory counts, material planning, and purchasing reports as requested.

· Support supplier performance monitoring by tracking on-time delivery, quality concerns, and vendor responsiveness.

· Maintain confidentiality of pricing, supplier agreements, and proprietary company information.

· Ensure purchasing activities comply with FDA regulations, Good Manufacturing Practices (GMP), company SOPs, and procurement policies.

· Participate in continuous improvement initiatives to improve purchasing efficiency, inventory accuracy, and supplier performance.

Knowledge, Skills and Abilities

· Knowledge of purchasing procedures and procurement best practices.

· Familiarity with inventory management and material planning principles.

· Ability to accurately prepare and process purchase orders and purchasing documentation.

· Strong analytical and problem-solving skills.

· Excellent customer service skills when working with internal departments and external suppliers.

· Ability to maintain accurate records and handle confidential information.

· Ability to work independently while contributing to a collaborative team environment.

· Commitment to quality, compliance, and continuous improvement.

· Basic understanding of purchasing processes, inventory control, and supply chain operations.

· Strong organizational skills with excellent attention to detail.

· Ability to manage multiple priorities while meeting deadlines.

· Strong written and verbal communication skills.

Qualifications

· High school diploma or equivalent required; Associate's degree in Business, Supply Chain, Purchasing, or a related field preferred.

· 2 years of purchasing, procurement, inventory control, or administrative experience preferred.

· Experience in an FDA-regulated manufacturing environment is preferred.

· Experience using ERP or purchasing software and Microsoft Office applications, particularly Excel.

Working Condition

Work is primarily performed in an office environment within an FDA-regulated chemical manufacturing facility, with frequent interaction in warehouse, production, and receiving areas. The employee may be exposed to varying temperatures, manufacturing noise, moving equipment, and chemical odors when entering operational areas. Required PPE must be worn in designated manufacturing and warehouse locations. This position requires prolonged periods of sitting and computer work, along with frequent walking, standing, and occasional bending or reaching while visiting production or warehouse areas. The employee must be able to occasionally lift and carry materials or office supplies weighing up to 25 pounds. Occasional overtime may be required to support production schedules, inventory activities, or supplier demands.

Pay: $25.00 - $29.00 per hour
