Job Summary
We are seeking a dynamic and detail-oriented Hotel Supplies Purchasing Clerk to join our procurement team. In this vital role, you will manage the sourcing, purchasing, and inventory control of hotel supplies to ensure seamless operations across our hospitality properties. Your expertise in materials management and supply chain processes will help optimize procurement activities, negotiate favorable contracts, and maintain accurate inventory levels. Responsibility:
- Receive, store, issue, source, and rotate goods.
- Purchase assigned items on a timely basis as required by operations.
- Work closely with the hotel general managers requesting department heads to assure timely delivery and product quality.
- Know and use inventory and ordering system to create purchase orders, receive goods and manage inventory.
- Maintain agreed upon standards and practices in all beverage purchasing activities.
- Receive end users product issue requests and fill orders accordingly.
- Understand costs and budgets, and work with the appropriate department head to achieve/maintain budgeted cost percentage.
- Recommend best purchases and alternative new products to users.
- Establish and maintain adequate PAR levels. (Minimum, maximum, reorder point) Maintain stock per established PAR levels.
- Take 1st of the montha and 15th of the month-end inventory and enter into inventory system.
- Cross-train in all procurement related functions.
- Compliance with safety and OSHA.

- Coordinate with suppliers and vendors to source hotel supplies, including linens, toiletries, kitchen essentials, and guest amenities, ensuring quality and cost-effectiveness.
- Utilize systems such as Guest Supply, HD Supply, US Foods, VISTAR, Amazon, Sams Club, Walmart, Insta Cart and place purchase orders, track deliveries, and update inventory records accurately.
- Conduct direct negotiations with suppliers to secure competitive pricing, favorable contract terms, and reliable delivery schedules.
- Analyze Excel data for procurement trends, inventory levels, and supply chain performance metrics to inform purchasing decisions.
- Manage procurement activities related to production planning, merchandising, and logistics to support hotel operations efficiently.
- Monitor inventory control processes to prevent stock shortages or overstocking while maintaining optimal stock levels through effective sourcing strategies.
- Collaborate with the supply chain team on sourcing initiatives for e-commerce platforms and assist in contract management for supplier agreements.Requirements
- Proven experience in procurement or materials management within a hospitality or retail environment.
- Knowledge of supply chain management principles including inventory management, logistics, pricing strategies, and production planning.
- Proficiency in Excel data analysis for tracking procurement metrics and optimizing sourcing strategies.
- Excellent negotiation skills with the ability to establish mutually beneficial supplier relationships.
- Experience with sourcing strategies for hotel supplies or related industries is highly desirable.
- Ability to work independently while collaborating effectively with cross-functional teams on procurement projects.
Pay: $40,000.00 - $50,000.00 per year
