Accounts Payable/Receivable Specialist

Position Summary

We are seeking a detail-oriented and experienced Accounts Payable / Accounts Receivable (AP/AR) Specialist to join our team in Clearwater, FL. This role requires hands-on proficiency in both payables and receivables functions, with the ability to manage the full AP/AR cycle independently. The ideal candidate is local to the Clearwater area, thrives in a fast-paced environment, and brings proven experience managing vendor relationships, customer billing, and month-end close activities.

Accounts Payable

• Process vendor invoices accurately and in accordance with company policies and payment terms
• Review and match purchase orders, receipts, and invoices (3-way match)
• Support weekly check runs and general AP process
• Reconcile vendor statements and resolve discrepancies in a timely manner
• Maintain and update vendor records, W-9s, and 1099 documentation
• Communicate with vendors regarding payment inquiries and account issues
• Assist with month-end AP close, including accruals and aging report review

Accounts Receivable

• Generate and send customer invoices accurately and on schedule
• Support the management of the AR aging report; escalate past-due accounts as needed
• Process customer payments checks and credit cards
• Perform cash application and reconcile customer accounts
• Follow up on outstanding balances via phone and email; maintain professional customer relationships
• Support month-end AR close, including reporting and reconciliation

General Accounting & Administrative

• Assist with external audits by providing documentation and supporting schedules
• Identify and recommend process improvements to streamline AP/AR workflows
• Support the accounting team with ad hoc reporting and special projects as assigned
• Support filing and organization of all paperwork used in both the AP and AR Process.

Pay: $20.00 - $25.00 per hour

Education:

• Associate (Preferred)

• AP/AR: 3 years (Required)
