We’re seeking a dependable and detail-oriented Office Assistant & Bookkeeper to support our growing team. This role is ideal for someone who thrives in a fast-paced environment, enjoys working independently, and values professionalism and accuracy.
K*ey Responsibilities*
Bookkeeping & Financial Support
- Proactively maintains an organized and streamlined accounting system
- Coordinates with management/colleagues to ensure all activities and jobs are recorded
- Creates and send invoices; Manages bills and record payments; Make deposits
- Manages all aspects of A/R, A/P, billing and collections activities
- Reconciles company accounts monthly
- Manages the payroll process and manage employee withholdings
- Collaborates with management to ensure the
- Generates financial reports for management and external contractors when needed
Administrative Support and Customer Service
- Maintains a courteous and professional demeanor in all interactions
- Serves as the first point of contact for customers, vendors, and visitors
- Answer phone calls, greet visitors, and handle correspondence
- Communicates with clients regarding job scheduling and promotional services
- Manages calendars, schedule appointments, and organize meetings
- Monitors and orders office supplies; maintains a clean and organized workspace
- Assists managers and staff with other tasks as needed.
Qualifications. Skills & Experience
- Associate’s degree in accounting, business, or related field (or equivalent experience)
- Experience with QuickBooks Online or similar accounting software
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Prior payroll processing experience
- Professional presentation and conduct
- Ability to work independently and manage multiple assignments at one time
- Excellent organizational and time management skills including meeting deadlines
- Previous experience as an administrative assistant or similar role
