Job SummaryWe are seeking an energetic and detail-oriented Front Desk Receptionist/Office Assistant to be the welcoming face and organized backbone of our busy office. In this vital role, you will manage front desk operations, provide exceptional customer service, and support daily administrative functions to ensure smooth office workflows. Your positive attitude, strong organizational skills, and proficiency with office technology will help create a professional and efficient environment for staff and visitors alike.DutiesGreet visitors, clients, and vendors warmly, ensuring a positive first impression at all timesAnswer multi-line phone systems promptly and professionally, directing calls accurately and courteouslyManage incoming and outgoing correspondence, including emails, mailings, and deliveriesMaintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft OfficePerform data entry, proofread documents, and handle clerical tasks such as photocopying, scanning, and faxingSupport office management activities including calendar management, appointment scheduling, and meeting coordinationAssist with bookkeeping tasks using QuickBooks or similar software to support basic financial record-keepingProvide customer support by addressing inquiries efficiently and maintaining excellent phone etiquetteManage office supplies inventory and place orders as needed to ensure smooth operationsSupport personal assistant duties when required, including travel arrangements or special project assistanceQualificationsExperience in office administration or clerical roles with strong organizational skillsExcellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace toolsFamiliarity with multi-line phone systems and professional phone etiquetteBilingual abilities are highly desirable to serve diverse client needs effectivelyPrior experience as a receptionist in medical or dental offices is a plus but not requiredStrong typing skills with attention to detail for proofreading and data entry tasksAbility to handle multiple priorities efficiently with excellent time management skillsDemonstrated customer service skills with a friendly yet professional demeanorKnowledge of basic bookkeeping practices using QuickBooks or similar software is advantageousPersonal assistant or office management experience is beneficial for supporting broader administrative functionsJoin our team to be the friendly face that keeps our office running smoothly!
