Position Overview
We are seeking a friendly, organized, and dependable Receptionist / Office Administrator to join our team. This role combines front desk responsibilities with office administrative support to help keep daily operations running smoothly. The ideal candidate is detail-oriented, proactive, and able to multitask in a fast-paced construction environment while providing exceptional customer service.
Responsibilities
- Answer and direct incoming phone calls in a professional and courteous manner.
- Welcome clients, vendors, and visitors, creating a positive first impression.
- Monitor and manage the company email inbox, responding to inquiries or directing messages appropriately.
- Schedule appointments, consultations, meetings, and other company events.
- Provide administrative support to project managers and office staff.
- Organize, maintain, and update job files, permits, contracts, and other important documents.
- Coordinate with vendors, suppliers, subcontractors, and customers as needed.
- Order and maintain office supplies while ensuring the office remains organized and efficient.
- Assist with basic bookkeeping tasks, including invoices, payments, and recordkeeping.
- Support management with day-to-day operational and administrative tasks.
- Perform other administrative duties as assigned.
Qualifications
- Previous experience as a receptionist, administrative assistant, office coordinator, or office manager preferred.
- Experience in the construction or home improvement industry is a plus, but not required.
- Experience processing payroll is preferred but not required. Training will be provided for the right candidate.
- Excellent communication and customer service skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Proficiency with computers, email, scheduling software, Microsoft Office or Google Workspace, and other standard office applications.
- Professional demeanor, positive attitude, and dependable work ethic.
- Ability to work independently as well as collaboratively within a team.
- Willingness to learn new processes, take initiative, and adapt to changing priorities.
