We are seeking a dependable Front Office Administrator who is comfortable working with patients and families in a behavioral health setting.
Position Summary
The Front Office Administrator supports patient communication, scheduling, new patient intake, insurance verification, payment collection, and general front office operations.
This position involves regular patient interaction and close coordination with providers, administrative staff, and clinic leadership.
Key Responsibilities
- Greet patients and families professionally and compassionately
- Answer calls and respond to voicemails, emails, and secure messages
- Schedule and reschedule new patient and follow up appointments
- Assist prospective patients with the intake and onboarding process
- Review intake forms and confirm that required documents have been received
- Verify insurance eligibility and enter insurance information accurately
- Collect copays, deductibles, private pay charges, and outstanding balances
- Scan and upload documents into patient charts
- Send and receive records and forms through secure fax
- Communicate with pharmacies, medical offices, and other organizations regarding administrative matters
- Maintain accurate documentation and protect confidential patient information
- Assist with general office organization and administrative projects
Additional responsibilities may be introduced as training progresses and the practice grows.
Preferred Qualifications
- Previous administrative, front desk, medical office, or customer service experience
- Strong phone etiquette and written communication skills
- Familiarity with insurance verification and basic billing concepts
- Comfort using electronic health records, email, secure messaging, and online systems
- Ability to stay organized and complete tasks without frequent reminders
- Ability to communicate calmly and professionally with patients and families
Schedule and Compensation
- Mondays and Fridays
- 9:30 AM to 6:00 PM
- Approximately 16 paid hours per week
- Some limited schedule adjustment may be considered
- $19 to $21 per hour, based on experience
- Hourly, nonexempt position
- No regular evenings or weekends
Employment will be contingent upon completion of a background check and standard onboarding requirements.
Growth Opportunity
As the practice continues to grow, there may be opportunities for additional hours or responsibilities depending on clinic needs, employee performance, and availability. Additional hours are not guaranteed.
