Marketing Specialist and Events Coordinator
POSITION OVERVIEW
The Marketing Specialist and Events Coordinator is responsible for helping the Humane
Society of Tuolumne County (HSOTC) further their mission by promoting programs
geared toward raising funds that enable the HSOTC to continue rescuing animals and
saving lives. This position will report directly to the Director of Shelter Operations and
the HSOTC board of directors, and assist with forward-facing donor coordination,
engagement, and behind-the-scenes donor management. This position frequently
interacts with the public as a representative of the HSOTC and is responsible for
helping to ensure the success of fundraising events, membership activities, and local
community events.
The Marketing Specialist portion of this position, creates, implements, and evaluates
marketing strategies, shelter services, public information campaigns, and outreach
programs to engage the public in reducing animal shelter intake while helping promote
animals in securing their new forever homes. Innovation and transparency will guide this
position in coordinating and participating in promotional activities to market adoption
programs, fundraising events, and other shelter activities and services.
The Events Coordinator position works closely with the HSOTC staff/team members as
well as the organization’s Board of Directors to coordinate events and meet overall
organizational goals. This includes but is not limited to planning, implementing, and
conducting events including organizing community events and fundraising activities as
well as logistical planning, donation and membership procurement, event execution,
and digital, print, social media planning and posting, and other tasks that help promote
the HSOTC. This position will also be responsible for reporting on their activities and
speak to the effectiveness of fundraising and events.
POSITION SUMMARY
The Marketing Specialist and Events Coordinator is responsible for supporting all event
logistics and execution, support current business practices, and general overall
marketing efforts. This position requires someone who is extremely detail oriented and
organized, and passionate about smooth processes. As part of the HSOTC team, this
position requires the individual to be an exceptional communicator both internally and
client facing and requires flexible hours and travel. Weekend events are common and
are required as part of this position’s responsibilities. This position requires the humane
treatment to all animals, with compassion and concern, both on and off the job.
Marketing Specialist Essential Job Duties
Engages the community in animal-related issues:
- Selects and utilizes appropriate communications channels to engage adopters and the community-at-large to help educate the general population about shelter intakes, immunization, and to be transparent about the shelter’s current needs and capacity issues.
- Design, develops, and coordinates the distribution of flyers, press releases, and other marketing materials for programs/events and education purposes.
- Assists in obtaining donations of money, supplies, and services for the shelter and its residents.
- Actively assists with volunteer recruitment and training.
Plans, coordinates, and implements special programs and events:
- Develops and implements creative marketing and promotional plans and disseminates related collateral materials.
- Fosters existing and new strategic relations; collaborates with internal and external stakeholders/partners to further the mission of the HSOTC.
- Maintains a calendar of outreach activities, community events, workshops, adoption events, and other animal-related fundraisers.
- Coordinates, implements, and evaluates special events related to adoptions, volunteers, rescues, and responsible pet ownership.
Utilizes social media platforms and other forms of electronic media:
- Assists in maintaining web pages, Facebook, Instagram, and other social media sites with current pictures, announcements, events, statistics, testimonials, and information.
- Works with shelter staff on the integration of the PETS animal shelter database, membership, appeals, and pledge-to-give databases with ongoing communication functions.
Performs administrative functions:
- Conducts research projects, assists with budget, reports, records requests, news coverage, mailing lists, presentations, and other duties as requested by the Director of Shelter Operations.
- Assists with grant applications and follow-up, award nominations, and general public presentations.
- Works with the Director of Shelter Operations on public relations and general marketing opportunities.
- Network and attend civic, business, and social events with the Director of Shelter Operations.
- Possesses advanced reasoning skills for dealing with adopters, volunteers, staff, partner organizations and advocacy groups; ability to understand, accept, and effectively communicate information on organizational procedures, mission, and goals, spay and neuter programs, crematory services, and the ability to maintain professionalism in all situations.
Events Coordinator Essential Job Duties
Plans, coordinates, and implements all fundraising events:
- Plan, schedule, implement, and oversee the logistics of all essential fundraising and community-related events.
- Infuse a spirit of hospitality and gratitude while establishing and maintaining strong relationships with vendors and business partners.
- Direct event timelines and activities to ensure the smooth execution of all HSOTC events from start to finish including set-up and teardown.
- Ensure events are properly staffed, lead volunteer/staff members are appointed, and all volunteers receive training prior to each event.
- Responsible for the overall event budget management; event revenue, expenses, obtaining net goal, financial reporting, and post event evaluations.
- Solicits in-kind donations in support of the events including but not limited to overseeing the procurement of both silent and live auction items and raffle merchandise.
- Procures, maintains, and inventories HSOTC supplies and equipment for special events and promotions.
- Handles follow-up activities related to events and promotions; coordinates donor, volunteer, committee correspondence, thank you notes, and tax acknowledgements.
- Attracts and recruits additional volunteers critical to the success of all events.
- Assist with social media/electronic promotions and content.
Administrative Job Duties
- Ability to work independently to plan and execute high profile HSOTC events.
- Capability to multi-task, prioritize, and ensure multiple events and fundraising projects are managed to completion.
- Ability to independently decide on the proper actions in any issues that occur at events.
- Work with the Director of Shelter Operations, staff, and outside graphic support services to design and create all event collateral (invitations, programs, flyers, posters, signage, and appeal letters) and provide written content for event-related promotional emails, website, and event ticketing.
- Travel required with HSOTC vehicle available for use during events.
Qualifications
To perform this job successfully, an individual must be able to perform each essential
duty and task satisfactorily. The requirements listed below are representative of the
knowledge, skill, and/or ability required.
1. Three years of experience in managing fundraising events required.
2. Background in events, communications, public relations, and marketing in a non-
profit setting desired.
3. A sound understanding of marketing principles.
4. Demonstrate marketing and public communications knowledge to include ability
to develop and coordinate community events, benefits and functions, and special
event planning.
5. Computer proficiency with Microsoft Office including Excel, PowerPoint, Word,
and Outlook skills required.
6. Ability to operate under pressure, meet tight deadlines with attention to detail.
7. Effective understanding of the latest technologies and how to apply them in
marketing.
8. Efficient presentation skills with the ability to acquire market information and
answer questions from the HSOTC team, members, volunteers, adopters, and
the general public.
9. Work collaboratively and efficaciously as a team member.
10. Well-built skills in organization, prioritization, and time management.
11. Be self-motivated, confident, energetic, and creative.
12. Knowledge of animal behavior and animal handling experience preferred.
Education and Other Qualifications
1. High school graduate. An associate’s degree in business administration or
marketing and/or diploma from an accredited trade school a plus.
2. Must have a valid driver’s license and vehicle for transportation.
3. Ability to multi-task in a fast-paced environment and handle multiple priorities
with excellent customer service skills.
4. Ability to lift from 30 – 50 pounds and be able to repetitiously and easily bend,
kneel, reach, stoop, squat, push, climb, and stand for extended periods of time.
